As a key member of the Agile team, this position is integral to BCIT’s Strategic Goal of Relevance, Reach and Renewal by supporting industry and employee needs though responsive PTS course offerings and support. Provides expertise and support to the BCIT community for Agile Part-time Studies (PTS) operations, communications, business processes, policies and associated procedures; Identifies, documents and recommends solutions for issues identified by stakeholders that affect the quality of PTS the learning, teaching and/or administrative processes.**Duties & Responsibilities**

**Communications Institute Liaison for**
**PTS***:
- Establishes and operationalizes a communications strategy for the Part-time Studies community:
- Develops and coordinates time-sensitive, targeted communications to the PTS community, on behalf of the Institute, regarding changes which impact work flow, business processes or procedures.
- Remains current with activities that impact PTS stakeholders in order to facilitate responsive and relevant communication.
- Identifies and promotes PTS business best-practices and advises the Associate Dean Agile and Work Integrated Learning on PTS business processes and procedures at the Institute;
- Develops and communicates of PTS Annual Planning.
- Leads the on-going development of the PTS Instructor Orientation course.
- Develops and maintains information and internal communications for the Part-time Studies Community through the Loop and in Sharepoint.
- Maintains information content for prospective and currently enrolled part-time students. Assists in the automation and monitoring of system-generated correspondence to PTS students and faculty.
- Coordinates the production and publication of the PTS Instructor Handbook.
- Develops and maintains the PTS Directory for the Institute.
**Events Organization and Coordination**:
- Organizes BCIT Agile, PTS & Work Integrated Learning (WIL) events.
- Coordinates event schedule; catering services; recruiting and hires internal and external session facilitators, audio/visual services and venue set-up.
- Assembles and distributes event promotional material and invitations.
- Creates and administers participant satisfaction questionnaires.
- Tracks expenditures against budget, and prepares reconciliation statements of event costs.
**Operations Coordination**:
- Coordinates and supports BCIT Agile Quality Committee (AQC):
- Receives and tracks badge and microcredential proposal submissions.
- Schedules and posts AQC meetings.
- Produces and archiving AQC minutes.
- Communicates with proposal submission champions, departments, schools and registrar’s office regarding new badge and microcredential regarding review process, AQC feedback and outcomes.
- Produces surveys to students and staff to identify best practices and opportunities for improvement in PTS operations and events. Summarizes and presents survey results, with operationalizing recommendations to Associate Dean Agile and Work Integrated Learning for direction in actioning outcomes.
**Administration**:
- Collaborates with Associate Dean Agile and Work Integrated Learning in the identification and implementation of new or revised business processes to improve integration and alignment with full-time where appropriate.
- Advises Education Council on policy in relation to PTS procedures, when appropriate.
- Advises Institute personnel on various matters pertaining to PTS administrative processes and procedures.
**Projects and Development**:
- Key participant on enterprise-level systems projects in support of the strategic direction and business requirements at an institutional level:
- Represents PTS interests on a broad range of Institute systems infrastructure projects
- Advises Associate Dean Agile and Work Integrated Learning and provides expertise on PTS systems integration.
- Develops and implements new automated processes using Banner Workflow.
**PTS**
**Systems Administration**:
- Assists PTS System Administrator and backfills as necessary.
**Records Management**:
- Participates in, or delegates Records Custodian training and remains current with record keeping practices, policies, and procedures (both BCIT and FOIPOP). Undertakes, or delegates the duties and responsibilities of Records Custodian in compliance with FOIPOP and Institute policies and procedures, including: maintaining index and retrieval system of office files through the Associate Dean Agile and Work Integrated Learning of Records Database (DRDB).
