**General Accountability**:

- Reporting to the Aftermarket Warranty Supervisor, the incumbent is responsible for performing a variety of administrative duties relating to the identification of, collection and processing of aftermarket warranty and core claims to ensure that the TTC submits and obtains full compensation for aftermarket and other core warranty claims. This position reviews contract clauses for aftermarket warranty coverage and the associated procedures for processing claims; completing and submitting aftermarket warranty claim forms to the manufacturer and/or vendor. This position is also responsible for assisting the Materials Management section with core, component aftermarket warranty material, etc.; providing detailed information relating to core, component and aftermarket warranty claims; setting up and maintaining various databases for the tracking/reporting of aftermarket warranty claims to completion and associated information (e.g. receipt of payments); liaising with personnel in the Distributed Inventory Control, Central Inventory Control, Inventory Planning and Purchasing & Sales sections as well as with personnel in other TTC Departments regarding cores and aftermarket warranty coverage, repair orders, claim payments, etc. and liaising with and or/participating in meetings with manufacturers, vendors, for core and aftermarket warranty related issues.**Key Job Functions**:

- Performs a variety of administrative functions relating to the processing of core and aftermarket warranty claims. This involves:
- Reviewing core and aftermarket contract clauses relating to core and aftermarket warranty to ensure TTC process and administration requirements are considered
- Ensuring vendors and manufacturers comply with established core and aftermarket warranty procedures
- Organizing and receiving parts from satellite stores locations for aftermarket warranty claims
- Determining which parts are to be returned to the vendor, manufacturer, and scrapping items as claims are closed
- Arranging shipment of cores and parts to the vendors, and manufacturers
- Ensuring relevant information is provided (e.g. bus number, part description, failure description, serialization as required) for the identification tag
- Requesting any missing information from section staff for completing core and after-market warranty claims
- Compiling all required documentation and information for completing the core and aftermarket warranty claim form, and submitting same to the vendors and manufacturers
- Liaising with the vendors and manufacturer, in accordance with the core and after-market warranty claim process, for providing/obtaining required information, and following up on claim backlogs or approved disposals of parts
- Liaising with the Material Management section, providing part information (e.g. serial number, purchase/repair date) to assist disputes relating to core and aftermarket warranty claims
- Inputting core and aftermarket warranty claim information into associated databases; tracking claim submissions and taking appropriate action regarding the acceptance of a claim, claim payment, material return or scrapping approval
- Maintaining the database(s) and extracting/generating information reports on a timely basis
- Making recommendations for improvements to reporting or other database program features
- Utilizing the Industrial Financial System (IFS), and section database records detail to compile information such as part identification number, description, purchase date, repair history, costs, etc., used for completing claim forms, providing research assistance to M&P personnel, etc.
- Reconciling claims paid against submissions
- Communicating core and aftermarket warranty details and processes to M&P personnel, and responding to questions/inquiries, etc.
