**Position Summary**

**Responsibilities**
- Greets and assists visitors and employees to the department in a professional manner.
- Monitors and maintains the reception area, boardrooms, and P&E workspaces to ensure cleanliness and organization.
- Acts as a key and/or keycard holder for department-shared spaces.
- Assist with scheduling and coordinating meetings and job interviews.
- Works with Iron Mountain to coordinate and organize records and documents, including record retrieval as needed.
- Updates filing systems and assists with new filing and storage systems, data and documents.
- Conducts regular file reviews according to the department retention schedule.
- Processes requests for files and data. Records when and what documents have been borrowed and returned.
- Secures and protects the privacy of documents.
- Maintains mail functionality and order, including responding to office equipment service needs.
- Coordinates the return of empty toner cartridges.
- Regularly monitors and maintains an inventory of office supplies and equipment, including the shared kitchen area.
- Assists with gathering and sending information for employee files related to incoming legal letter requests.
- Works collaboratively with the Strategic Business Operations Manager to assist with various People and Equity projects and initiatives.
- Coordinates People and Equity events, both on and offsite, including divisional days, team building, team social events and holiday celebrations.

**Qualifications/Experience**
- Two (2) year diploma, or equivalent. Business Administration or any related discipline. An equivalent combination of relevant practical work experience and/or other qualifications and education will be considered.
- Minimum of two (2) years in a clerical/support role, preferably in an educational institution.
- Ability to interact positively with others, demonstrating interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
- Excellent organizational skills and attention to detail.
- Strong written communication, customer service and time management skills.
- Demonstrated proficiency in Microsoft Office, Teams, Zoom and experience in website maintenance and social media engagement/communication.
- Hands-on experience with office equipment (e.g., fax machines and printers)
- Demonstrated ability to set priorities and work well under pressure with highly developed organizational and problem-solving skills.
- Able to work in a team or independently with mínimal direction according to established processes.
- General office practices and procedures for working productively in a business environment
- Maintaining the confidentiality of private information
