The Mailroom Assistant will be responsible for sorting, delivering, and managing incoming and outgoing internal and external mail. This role requires the preparation of couriers and Canada Post shipments, as well as the delivery of mail and packages throughout client offices. The Mailroom Assistant should be able to handle some heavy lifting and be comfortable with walking and standing for extended periods. Flexibility in working multiple shifts and covering different time slots is required due to the mailroom's operating hours.
**Key Responsibilities**:
**Receipt and Delivery of Mail and Couriers**:
Sort and distribute incoming mail and packages to the appropriate recipients within the organization.
Manage outgoing mail and couriers, ensuring proper packaging, addressing, and tracking.
Maintain accurate records of mail and courier transactions.
**Preparation of Outgoing Canada Post Mail**:
Utilize Pitney Bowes SendPro P3000 system to prepare outgoing Canada Post mail.
Ensure proper postage and labeling on packages and envelopes.
**Preparation of Outgoing Couriers**:
Utilize FedEx and DHL order systems to prepare outgoing courier shipments.
Follow packaging guidelines and ensure accurate labeling and documentation.
**Delivery of Mail and Couriers**:
Safely and efficiently deliver mail and packages throughout the client office using walking as the primary mode of transportation.
Ensure timely and accurate delivery, adhering to established schedules and protocols.
**Physical Requirements**:
Perform regular tasks involving walking and standing.
Be capable of lifting objects weighing up to approximately 20 kilograms.
**Qualifications and Skills**:
Minimum high school education.
Proficiency in both written and spoken English.
Strong organizational skills and attention to detail.
Ability to work independently and follow instructions accurately.
Excellent interpersonal and communication skills.
Basic computer literacy, including experience with mailing and shipping software.
Prior experience in a mailroom or related field is an asset but not mandatory.
**Working Hours**:
The mailroom operates from 07:00 to 18:00.
Multiple shifts are available, and the applicant must be flexible to cover different shifts as needed.
