FULFILLMENT COORDINATOR

Job description

General

Report to the Fulfillment Manager/Customer Experience Manager as directed, to supervise

and complete daily and weekly fulfillment tasks as required. A successful coordinator will

have great organizational, time management, and attention to detail skills, when helping

with coordinating the shipment of PO’s out of the facility. A successful coordinator will

ensure that all fulfillment tasks that have been assigned are achieved with a a high level of

compliance with internal SOP’s and Forms.

Roles and Responsibilities
- TEAMWORK
- Building Strong Relationships: The Fulfillment Coordinator will be working

closely with QA/QC, packaging, and other departments, and being available

and open minded to changing situations will be an asset. Building strong

relationships with all involved parties will create a win-win dynamic, and

ensure orders get out according to the requirements and expectations of the

order fulfillment process.
- Inventory Analysis Inbound & Outbound: work with Operations & Sales Team

members to assess the inventory level presented by each new PO with respect

to provincial warehouse inventory and our internal inventories, communicate

with team as to impact & recommendation based on stocking level targets.
- Communication: The Fulfillment Coordinator has to be an excellent

communicator. On a daily basis, The Fulfillment Coordinator needs to

coordinate with their manager to break down daily and weekly activities and

explain the goals and priorities when asked. Where applicable, Coordinator s

must be able to balance priorities and seek clarification if not sure.

Coordinator s must also be able to report to managers wins and losses,

performance, and opportunities for improvement. You will be the Fulfillment

Managers eyes and ears from a facility perspective.
- EXCELLENCE
- Documentation: Prepare documents for shipping out cannabis from Muskoka

Grown. Prepare documents for receiving cannabis from 3rd party facility’s.

Completed to schedule with a focused attention to detail mindset. Ensure all

documents are filed/recorded on a timely basis.
- Organization: Success for this Coordinator will look like being well organized,

using google sheets and other tools for tracking and working on PO’s, to ensure

they leave on time and in full.
- ACCOUNTABILITY
- Time Management: Ensure that tasks are completed in a timely manner.

Turnaround times for PO’s leaving could be 24 - 48 hours in some instances,

others 1 to 4 weeks. Working closely with other Coordinator s and managers to

ensure PO’s leave when expected, will be important.
- Learning: There will be lots of learning opportunities in this role, and the ability to

stay open minded and willing to learn will be an important accountability. Being

a quick study and learning on the fly will benefit this role.
- MEANING
- Leadership: Coordinators must show good leadership skills to coach, encourage &
inspire their fellow team-members to be successful. Coordinator s must live by

and enforce our TEAM Values with themselves and other team members..

Successful Coordinator s will lead by example.
- Flexibility: Willingness to help out in other departments as needed. Working

alongside Customer Experience team-mates will play a part from time to time.

Being flexible to learn and grow in other dynamics will lead to a broader

understanding of operations between the departments.

Measures of Success
- Ensure all PO’s are assessed within 2 business days for weeks of stock
- Ensure all fulfillment paperwork (i.e. packing slip, BOL, Placards) is completed

on-time & is accurate every time
- Ensure no PO’s are not accepted by customers due to improper paperwork
- Ensure all folders are up to date and include all required documents as per

SOP’s and Forms, data should be entered real-time and if not possible within 48

hours.
- Ensure all internal communication with respect to inventory changes are

communicated within 24 hours.
- Packing Slips, Placards, Pallet Stickers, BOL’s, Inventory Worksheets, Sample

Inventory Sheets, Booking Appointments, will all be included for daily tasks.
