We are currently recruiting for an experienced **Primary Clinical Administrator **to join HFC as a part of our highly successful, fast paced, and rapidly growing specialized healthcare team.

**The Role**:
Reporting to the Manager, Clinical Administration, the Primary Clinical Administrator (PCA) role provides direct support for the day-to-day needs of the onsite Medical Doctors, Client Support Team, and the Nursing team, while ensuring all administrative support requirements are met. The PCA role also provides direction and communication out to patients regarding details and information for their fertility journey.

This role has no direct reports. The Primary Clinical Administration provides support to the Manager, Clinical Administration, Nursing teams, patients and other key roles at HFC.

**Job Duties**:

- Prepare all patient paperwork and requisitions as needed
- Book and follow-up with all external tests needed for patients
- Book and prepare Andrology appointments
- Assist nurses with schedule of dates as required
- Follow-up with patient consents as required
- Collect and triage patient results as per clinical directive
- Support outlook calendar management for CM and IVF patients
- Pull charts and prepare documentation for external appointments as needed
- Triage team inbox and respond as appropriate
- Create patient referrals as per clinical directive
- Communicate daily patient consult notes to the patients
- Prepare documentation and equipment for biopsies
- Prepare clinical notes for patient insurance letters as required
- Communicate results to external physicians as required
- Provide support with clinic tours and patient inquires

**Skills & Qualifications**:

- Successful completion of a post-secondary diploma or certificate in Medical Administration, Health Information management, health administration, or related education
- 2-3 years related experience in an office environment, particularly in a healthcare or medical type setting
- 2-3 years progressive experience directly overseeing/supervising employees
- Proficient in Microsoft Office Suite including Word, Excel and Outlook
- Proficient in the use of Electronic Medical Records (EMR) systems, particularly ACCURO
- Strong interpersonal skills, confidentiality, and high degree of discretion
- Effective communication skills with individuals at all levels of the organization
- Self-motivated with an ability to work both independently and as part of a team
- Excellent time management and attention to detail
- Highly effective organizational skills, flexibility and adaptability
- Strong problem identification, data analysis and problem resolution skills

**The Centre**:

- General office conditions
- Busy clinic environment
- Must be able to work safely in a typical computerized office environment with frequent online or in person meetings
- Clinic hours: 7 AM - 3 PM (Sunday - Saturday)
