**Parts Administration Responsibilities**:
Daily Cash Reconciliation - Gathering all Debit and cash payments from Parts, Service and Sales to reconcile settlements and cash. Scan documents to accounting head office.

Scanning - Scan A/P invoices from parts and DCR paperwork into CDK.

Filing - Filing all invoices into numerical order.

Office Supplies - Order office supplies.

Janitorial Supplies - Order all Branch cleaning supplies.

Correspondence - Handling all mail, checks and cash that come into the dealership.

Banking - Gathering all cheques and cash and prepare daily bank deposit.

Petty Cash - Ensure paperwork and receipts are given to controlling petty cash flow.

Ordering Parts - Running orders for Emergency, Critical, Warranty and Stock orders from vendors.

Posting of parts - Posting all parts that come in from packing slips.

Invoices - Matching parts invoices to packing slips and receiving journals to scan into Yooz for coding.

Yooz - Code all invoices from vendors for reconciliation. Ensure all invoices are accounted for by month end close.

Obsolete Inventory - Creating obsolete reports broken down by vendors, create returns and keying parts to see if they can be returned or scrapped. Ensure all returns are picked and packaged and sent back to vendor or scrapped upon authorization. Arranging shipment of returns to vendors.

Plus/Minus Inventory - Making inventory adjustments.

Core Returns - Gather Dirty Core Inventory, process returns through VRTN and take out of CDK.

Cycle Counts - Run cycle counts and counting parts in sections of warehouse. Reconciling parts cycle counts and reconciling

PARS/Credit Requests - Creating PARS/Credit requests when parts are short shipped, packaged wrong or damaged. Following up to make sure proper documentation is attached and received.

**Parts Administration Requirements**:
High school diploma or the equivalent and one-year related experience or equivalent combination of education and experience.

Computer proficiency

Excellent communication skills both oral and written with the ability to effectively communicate via face-to-face, phone, or by other means of communication

Ability to define problems, collect data, establish facts, and draw valid conclusions
