1 vacancy. Normal clinic hours plus the occasional weekend or evenings as required for special events.

Job requirements

Education

College diploma/certificate or equivalent experience in office/medical or executive office administration preferred.

Familiarity with Functional Medicine an asset.

What can I expect to do in this role?

In this role you will:

- monitor and maintain computerized database programs
- manage patient results, charts, correspondence, scheduling, reminder calls
- prepare packages for public release
- respond to inquiries from staff, public and patients
- prepare a variety of materials including routine correspondence, reports, spreadsheets, minutes and presentations
- plan and coordinate administrative activities and services to support the Clinic and Doctor(s)
- ensure standards for a sanitized and clean environment are met.

- Ability to work independently with mínimal supervision
- Must be computer literate and be able to master our electronic database
- Command of written and verbal English
- Must be able to take verbal direction and multi-task

**Administrative Skills and Knowledge**:

- you have proven knowledge of and skills in administrative policies, procedures, systems, methods and processes
- you can provide a variety of administrative support services including but not limited to file management, purchasing, invoices, inventory control and management
- you can contribute to the development and implementation of office administrative systems, policies and processes
- demonstrable history of client recruitment and retention would be an asset
- skills and experience in practice building, patient recruitment and retention are assets.

**Organizational, Analytical and Problem-Solving Skills**:

- you can coordinate/maintain doctor(s) and clinic work schedules
- industriousness, strong productivity
- you have strong problem solving and analytical skills
- you demonstrate keen attention to detail and math skills to check and verify information and provide administrative financial support
- you have the ability to learn and understand the clinics structure, processes, programs and services to provide general and specific information and responses to the public and patients.

**Communication and Customer Service Skills**:

- you have excellent written and oral English communication and interpersonal skills to respond to inquiries, prepare standard correspondence, develop presentations and work in a team environment
- you demonstrate tack and resourcefulness
- you have well developed knowledge base of customer services principles, methods and practices including an ability to work with patients who may exhibit impatience
- excellent verbal skills and proficiency on the telephone.

**Computer Skills**:

- you have excellent computer skills including knowledge of software programs such as world processing, database, spreadsheet, presentation
- familiarity with social media and creative programs like Canva an asset
- you have demonstrated ability to utilize or learn information management systems including Electronic Medical Records.

- Day shift
- Monday to Friday
- Weekend availability
