** Administrator, Lease Documentation** to join our team in Toronto.

This, in turn, allows Allied to build relationships with our users on legally sound foundations.

Please note, our department of Lease Documentation is often referred to as Legal Affairs or Legal Operations in the industry.

**What will you do?**:

- Support the Lease Documentation team with all administrative tasks, including scanning leases, filing, drafting legal correspondence, arranging courier services and photocopying.
- Act as main point of contact for the Lease Documentation team in Toronto with respect to administrative queries.
- Open and close all lease files for the Lease Documentation team.
- Conduct corporate entity searches and title searches for any liens relating to properties.
- Manage all fully executed commercial leases and other ancillary agreements.
- Coordinate internal execution of lease agreements and other ancillary agreements.
- Distribute executed agreements internally and externally.
- Manages timelines for deliverables.
- Liaise with external insurance consultants and review daily and weekly reports.
- Prepare status updates on lease documentation files for internal use as required.
- Maintain lease database, including the activation, deactivation, and amendment of leases.
- Implement efficiencies to optimize department administrative functions, reduce redundancy, and improve turnaround time.
- Assist in establishing best practice tools, templates and Standard Operating Procedures (SOPs).
- Assist with any other additional department related functions as requested.
- Develop strong relations with tenants & all other real estate professionals.

**What are we looking for?**:

- A college diploma in administration or legal studies.
- Minimum of 3 years administrative experience, preferably in the real estate industry.
- Ability to work both independently and cohesively with team members.
- Strong computer skills and use of MS Office.
- Excellent communications skills with fundamental problem-solving and analytical skills.
- Strong attention to detail and accuracy.
- Ability to work in a fast pace environment and manage changing priorities.
- Ability and desire to adopt optimal and efficient methods to reach established departmental and organizational goals.
- Would be an asset:_
- Experience in a law firm.
- Experience with M-files and YARDI.
