**Position Summary**

Reporting to the Building Services Manager, this position will provide administrative and clerical support to the Building Services Department within the Operations Division of Peterborough Housing Corporation mainly by acquiring goods and services through approved purchasing procedures including Quotations, Short Form and Public Tenders, Standing Agreements, Pre-approved Contractor Lists, Purchase Orders and Work Orders.

**Responsibilities**
- Issue and/or track work orders to staff and/or contractors
- Receive invoices and process for payment in coordination with Corporate Services department
- Communicate with contractors and other service providers for the procurement of services
- Administering and tracking tendering process, purchase orders and work orders
- Maintaining data storage and retrieval of Maintenance & TenderFiles
- Maintaining tracking systems for Planned Maintenance Programs
- In collaboration with the Building Services Manager, coordinate refurbishment of vacant units
- Assisting in the preparation of reports
- Providing administrative support to the Operations Division

**Qualifications**
- Minimum 1 year College Diploma in Office/Business Administration or a Trades related field and minimum 1-2 years’ experience
- Proficiency in use of computers and related software such as Microsoft Office
- Proficient in the use of a Data Management software program
- Good knowledge of terminology associated with trades such as plumbing, electrical and carpentry to ensure appropriate repairs are undertaken.
- Basic knowledge of Residential Tenancies Act, Construction Lien Act, Building Code, WSIB, WHMIS.
- Good mathematical and analytical skills.
- Good organizational skills to manage several tasks and work independently to meet deadlines.
- Excellent communication skills with the ability to relate to a variety of people from diverse ethnic, age, and income groups.
- Ability to work as part of a team.
- Police and Vulnerable Sector Check required
