**Who You Are**
The assistant to the 39 Country Initiative plays an important role in the day to day operations of the 39 Country Initiative. Duties include gathering information and subsequently sending out correspondence to Deans and other high ranking faculty at institutions within the eligible 46 countries, assisting with the collection and organization of books for overseas container shipments, maintenance of the 39 Country Initiative website, and other administrative tasks as requested.
**What You’ll Do - Your Key Responsibilities and Duties**
1. Website maintenance and updates - 10%
- Review the 39 Country Initiative website and update information as needed
- Correspond with the Web Team when website changes are complex (eg, updates and additions to the 39 Country Initiative map webpage)
- Create and post new content for the 39 Country Initiative website as required
- 2. Preparation and revision of letters, documents, travel itineraries, presentations, and other documents - 10%
- As directed, aid in the preparation and revision of letters, documents, travel itineraries, presentations, and other documents
- 3. Providing assistance related to the 39 Country Initiative - 70%
- Maintain a large excel file detailing schools within 39 CI countries and noting which have been contacted to date
- Send letters out to key contacts at institutions on behalf of Paul Beamish expressing information related to the availability of free cases through Ivey Publishing for those in the countries included within the 39 CI
- Update the main 39 Country Initiative power point as needed and distribute this as an information piece related to the 39 CI
- 4. Financial activities - 5%
- Create expense claims, submit incoming invoices, and review montly budget spreadsheets from the Finance Department
- Other financial activities as directed
- 5. Other duties as assigned - 5%
- Photocopying, scanning, and other routine administrative activities as requested
**What You Have - The Knowledge, Skills, and Abilities**
Education & Experience
- Minimum 2-year community college degree (university degree preferred), or equivalent experience
- 2-4 years experience supporting professional management personnel in an administrative role and working in a fast-paced service environment
- Skills & Abilities
- Attention to detail and excellent problem solving abilities
- Advanced knowledge of Microsoft Office programs
- Ability to learn new computer programs quickly
- Knowledge of creating/altering webpages
- Excellent verbal and written communication skills and confidence dealing with all levels of an organization
- Ability to do thorough web-based research
- Ability to work independently with mínimal supervision
- French language skills would be an asset but are not required
