Business Operations Coordinator

Position DescriptionBased on our continued growth, we currently have an exciting opportunity for a BILINGUAL Business Operations Coordinator in our Montreal location.As a member of Diabsolut, the Business Operations Coordinator will report to the Director of Business Operations and will assist with the day-to-day operations of Diabsolut. The Business Operations Coordinator will help drive forward our internal operational efforts. They will be responsible for the administrative support related to the Diabsolut Operations, Sales, and Professional Services teams.Primary Responsibilities:Providing administrative support to the Operations team and its clientsAssist with translation of internal documents (English to French and vice-versa)Organize and schedule appointments and meetings for Senior ExecutivesEvent planning and coordination for Diabsolut for both virtual and in-person eventsAssist with travel arrangements for project team members and/or senior staffSubmit and reconcile expense reports for Senior ExecutivesAssist in donations and gift purchases for DiabsolutEnsure all information in Diabolus's internal CRM system is accurate and up to dateCreate, update, and maintain process documentation for OperationsAssist in the preparation of internal communications related to Operations processesResponsible for overseeing contracts and contract management repository in SharePoint/MS TeamsAssist with Onboarding and Offboarding employees for DiabsolutAcquire resumes from new employees to be transferred onto Diabsolut templateResponsible for ensuring employees maintain resumes on quarterly basisResponsible for tracking all certifications, trainings, voucher codes, and training expenses within DiabsolutAssist with internal support ticket creation in DevOps for OperationsAssist with all RFP and RFI submissions for Diabsolut as requiredOther duties and projects as requestedQualifications:Highly proficient with MS Office (Word, Excel, PowerPoint), Office 365Experience with MS Teams, Salesforce, Certinia and SharePoint (asset)Self-starter with ability to multitask, be proactive, and has exceptional attention to detailStrong work ethic with the ability to adapt to changing priorities and work well under pressureAutonomous with the ability to work independently under general instructionsStrong integrity with ability to maintain confidentiality and manage highly sensitive informationSuperior written and verbal communication skillsStrong analytical skills and great problem-solving abilityRequirements and Skills:diploma in administration and/or 2-3 years of experience in related fieldMust be FLUENTLY bilingual in French and English, written and spokenExceptional commitment to customer service with strong sense of urgencyExcellent communication and people skillsDesire to work as a team with a result driven approach.Assets (if applicable):Salesforce & PSA platform knowledge is nice to have.About DiabsolutWe offer innovative Salesforce and Certinia solutions to address the business needs of organizations across a wide range of industries.
