Event and Outreach Coordinator Job Number: J1125-0139 Job Type: Career Development Assignment (CDA) Department: Office of the Dean of Arts & Social Sciences Job Category: Administrative Number of Positions: 1 Employment Type: Full‑time (35 hours per week) Assignment Duration: 15/12/2025 – 04/09/2026 Salary: $73,897.00 – $80,777.00 per year (Salary Level 8PE, CUPE 2424) Salary Range: $73,897 – $80,777 Date Post: 21/11/2025 — Closing Date: 01/12/2025 Duties and Responsibilities Reporting to the Manager, Strategic Communications, the Event and Outreach Coordinator is responsible for all aspects of planning, concept development, production, promotion, and overall coordination of special, in‑house and ad‑hoc events in support of the Faculty’s strategic plan. Responsibilities include providing administrative and logistical support, managing the financial administration of events and programs, and facilitating relationships with internal and external stakeholders. The coordinator will deliver a wide range of engaging in‑person and virtual events, contribute to event marketing, provide expert guidance to academic units, create and maintain promotional materials, manage the faculty’s web presence and social media channels, and write and edit content for digital platforms. Events include but are not limited to recruitment and alumni events, public lectures, receptions, networking events, galas, and conferences. Qualifications Excellent communication and presentation skills (written and verbal); ability to take initiative, determine and balance priorities, and work independently and collaboratively. Sound judgment, listening skills, and ability to influence stakeholders without direct authority. Creative and enthusiastic attitude toward the Faculty of Arts and Social Sciences, representing the Faculty positively and professionally. Strong commitment to supporting equity, diversity and inclusion in a complex cultural environment. Ability to maintain confidentiality with regard to sensitive issues. Comfortable using graphic design and office software, social media, and WordPress to create engaging promotional material. Professional and effective collaboration with a wide group of people on various projects. Excellent project management and organizational skills, juggling many tasks with strong attention to detail. Demonstrated knowledge and experience planning special events in an academic environment. Ability to respond to constant and unpredictable pressures; patient, non‑judgmental, with initiative, tact, diplomacy, and high interpersonal skills. Flexibility to work evenings and weekends to attend recruitment and outreach events. Advanced skills in electronic communication and virtual meeting tools (e.g., Zoom, Teams, Airmeet). Education and Experience Undergraduate degree, preferably in Arts and/or Social Sciences. Five (5) years of progressively responsible experience in event coordination, social media/website design, customer service, financial administration, and office administration, ideally in an academic setting.
