Events Manager Department: Director | Ceremonies and Events Office Compensation Range: $7,283.75 - $10,474.08 CAD Monthly Posting End Date: December 9, 2025 Job End Date: Ongoing The events manager will develop, manage and execute plans for a variety of university ceremonies and events on behalf of the President and/or the Chancellor, in keeping with protocol standards. Responsibilities include advising on event management, budgeting, contracting, scheduling, coordination with committees, simultaneous event management, and liaison with senior university offices. The role requires flexible hours, including evenings and weekends. Responsibilities: Develop and execute plans for events, including university functions, recognition events, and presidential series. Plan and execute components of graduation and honorary degree ceremonies, managing logistics backstage and student processions. Collaborate with team members on recognition activities such as 25 Year Club and Quarter Century Club, ensuring policy compliance and website content accuracy. Manage logistics for Presidential event series and programs, liaising with guests, stakeholders, vendors, and coordinating student and public events. Research and analyze client needs, advise on all aspects of event management, and conduct post‑event analysis. Ensure compliance with UBC policies for all event aspects, identify and mitigate risky situations. Negotiate contracts with on‑ and off‑campus suppliers. Develop and monitor event budgets and obtain approvals. Plan and manage multiple simultaneous events with detailed advance planning and ability to improvise. Consult and advise President’s Office, Board of Governors, and other university clients on protocol, including interactions with VIPs. Provide assistance to the office during off‑hours and cover for colleagues as needed. Other duties as assigned. Minimum Qualifications: Two‑year diploma in Hotel Management, Hospitality, Tourism, or Event Management. Minimum of four years of experience or equivalent combination of education and experience. Commitment to diversity, equity, and inclusion. Preferred Qualifications: Four years of experience in event planning and implementation, including budgeting. Knowledge of university policies, protocol, hospitality industry, and fundraising organizations. Excellent organizational, planning, project management, and interpersonal skills. Strong oral and written communication with senior executives and diverse audiences. Diplomacy, tact, and confidentiality. Flexibility to work long hours, including evenings and weekends. Computer proficiency: Windows, Microsoft Office; WordPress and Adobe Acrobat Pro; graphic design, web registration systems.
