Engineering Project Administrator

Reporting to the Engineering Manager, the role of the Project Assistant is to provide a variety of project management support within the individual project functional areas. These functional areas currently include, but are not limited to: Project Controls, Project Accounting, and Design.
As a Project Assistant for the Distribution group, this role will assist with the assembly and creation of construction plans, create and update material orders, and finalize the construction package for use in the field. Additionally, they will work with Engineers, Designers, and approvers to create and obtain approvals or notifications associated with projects to ensure they are part of the construction package and communicate with customers and external agencies throughout the project construction phase.
With the Project Controls department, the Project Assistant will assist in maintaining project schedules, tracking systems, and project governance documentation, as well as monitor and maintain project-specific systems and documentation and communicate issues and risks with stakeholders.
Day to day, the Project Assistant will respond to customer inquiries, provide project updates to customers and stakeholders, and coordinate project close reporting. The Project Assistant’s responsibilities for the Project Accounting department include time sheet entry and other related duties.

Ability to apply judgment in determining appropriate procedures and requirements for various distribution projects.
Basic understanding of electrical system function and distribution operations.
General knowledge of terminology related to project management and power system engineering policies and procedures.
Strong computer skills including proficiency in MS Office, SAP, and AM/FM.
Demonstrated aptitude for organization in order to complete construction packages.
Proven ability to develop and maintain effective relationships with internal and external stakeholders; this includes good communication, interpersonal, and problem-solving skills.
Customer service focus supported by solid organizational and time management skills in order to prioritize numerous projects and competing demands.
Demonstrated initiative in recognizing opportunities for improvement and efficiency in processes and practices.
Proven ability to work independently and as a member of a team.
High School Diploma including Grade 12 Math and Grade 12 English plus a minimum of 1-2 years of experience in an administrative role.
An equivalent combination of education and experience may be considered.
A degree or diploma in a related discipline (e.g. Business Administration, Computer or Engineering Technology) would be considered an asset.
Experience working in a regulated environment, preferably within the electrical utility industry, would be an asset.
Working knowledge of operation of standard office equipment would be an asset.
Proficiency in Microsoft Office Suite is required.
Knowledge of clerical and administrative procedures and systems such as filing and record keeping would be an asset.
Excellent communication (written and verbal) skills required.
Organization and attention to detail skills.
