Position Overview Reporting to the Executive Director, the Manager of Facilities is responsible for ensuring the safe, efficient, and high‑quality operation of all HSLM buildings, grounds, equipment, and physical infrastructure. This role provides hands‑on leadership in maintenance, repair, and facility planning, ensuring that all spaces used by staff, volunteers, animals, and visitors are clean, functional, and compliant with health, safety, and animal‑care standards. The Manager of Facilities works collaboratively with operational leaders to support smooth shelter operations and delivers proactive solutions that safeguard the wellbeing of animals, people, and property. Key Responsibilities Facilities Operations & Maintenance Oversee the daily maintenance and functionality of all HSLM buildings, grounds, vehicles, and equipment. Conduct regular interior and exterior inspections to identify required repairs, safety risks, and operational improvements. Coordinate and perform repairs, preventative maintenance, and minor construction/renovation tasks. Ensure all systems (HVAC, electrical, plumbing, security, lighting, waste removal, etc.) operate reliably and efficiently, addressing issues promptly. Maintain clean, safe, and organized workspaces, storage areas, and mechanical rooms. Health, Safety & Compliance Ensure full compliance with municipal codes, provincial regulations (including OHSA), and industry best practices for facilities within an animal shelter environment. Lead emergency systems maintenance, including fire alarms, sprinklers, extinguishers, backup generators, and emergency lighting. Conduct and document routine safety checks; support organizational risk‑management efforts. Support the Joint Health & Safety Committee with facility‑related inspections and corrective actions. Serve as the primary point of contact for external contractors, inspectors, and service providers. Obtain quotes, evaluate proposals, and manage contracts for facility repair and maintenance work. Ensure all work is completed to standard, on time, and within approved budgets. Oversee relationships with suppliers for equipment, tools, and facility materials. Oversee the maintenance and basic troubleshooting of facility‑related technology systems, including security cameras, access controls, building automation systems, and monitoring equipment. Coordinate with IT support providers to ensure reliable functioning of computers, phones, network connectivity, and shelter management technology used throughout the facility. Maintain inventory of technology assets (hardware, equipment, and related supplies) and ensure timely updates, repairs, and replacements. Support staff in reporting technology issues and ensure a clear process for resolution and follow‑up. Planning & Asset Management Maintain records of facility assets, warranties, maintenance schedules, and inspection logs. Recommend facility improvements, replacements, and long‑term infrastructure investments. Support capital project planning and implementation in collaboration with senior leadership. Oversee inventory and procurement of cleaning supplies, repair materials, and related equipment. Provide training, guidance, and oversight to staff and volunteers involved in facility‑related tasks. Work closely with the Animal Care, Operations, and Administration teams to support daily shelter needs and special projects. Model HSLM’s values and contribute to a positive, safe, and collaborative organizational culture. Qualifications & Experience Minimum 5 years of experience in facility maintenance, operations, or a related field; experience in animal sheltering, healthcare, or other specialized facilities is an asset. Strong knowledge of building systems (HVAC, electrical, plumbing), occupational health and safety, and preventative maintenance practices. Demonstrated experience coordinating contractors and managing facility budgets or project costs. Ability to perform hands‑on maintenance and repairs using standard tools and equipment. Strong organizational, problem‑solving, and communication skills. Ability to work independently, balance priorities, and respond to urgent facility needs. Valid Ontario driver’s license; ability to lift/move equipment and perform physical tasks as required. Work Conditions Full‑time position, typically Monday–Friday, with some evening/weekend availability required for emergencies or special projects. Requires physical work, climbing ladders, lifting up to 50 lbs, and working in various indoor/outdoor environments. May involve exposure to cleaning products, tools/machinery, animal‑related allergens, and noise. Compensation $60,000 - $80,000 annual salary, dependant on experience and skillset.
