ACCOUNTABILITY STATEMENT:
The Execution Support will provide comprehensive on-site support to the Supervisor, ensuring the smooth execution of scheduled work and addressing any issues that arise. This position will ensure a smooth transition from planning to scheduling, work execution, providing clarity and control over individual jobs with the effective use of EAM systems to achieve operational excellence.
MAJOR DUTIES/ RESPONSIBILITIES:
- Monitor and update work orders that are scheduled and assigned during the current work week and provide updates.
- Facilitate daily team meetings.
- Provide support, address any issues that arise facilitating solutions to keep work on schedule.
- Facilitate assignment of daily work activities based on Supervisors workorder prioritization.
- Support the scheduling and assignment of tasks to technicians or contractors based on priorities and resource availability. Manage execution and reassignment tasks as required.
- Ensure adherence to work execution management guiding principles.
- Consult operators & managers to determine the needs of required equipment.
- Provide on-the-job training and guidance to unionized staff on work execution processes and EAM system usage.
- Assist Supervisor in maintaining work history, technical and vendor files.
- Maintain accurate records of work performed, including any deviation from the original plan, and ensure that all documentation is complete and up to date.
- Effectively & efficiently use the EAM system to track all assets and maintenance activities.
- Assist in scheduling and allocating the appropriate personnel, tools, and equipment required for each job, ensuring optimal use of resources during the current work week.
- Reschedule/reprioritize work based on emergent needs.
- Resolve day-to-day execution issues such as resource conflicts, incomplete work orders, or material shortages.
- Collaborate with employees to identify bottlenecks and recommend process improvements to streamline work execution.
- Communicate effectively with stakeholders to ensure alignment on priorities and status updates.
- Monitor and recommend changes to inventory levels of spare parts and materials, liaising with the supply chain to ensure availability and timely delivery of required items.
- Assist with material handling to ensure parts are available and delivered to the mechanics.
- Assist in identification and requisitions of non-inventory parts.
- Ensure parts utilized are accurately reflected on work orders.
- Work with divisional leaders to review reports and KPI's and action where necessary to ensure data integrity is maintained.
REQUIREMENTS:
- College Diploma in Engineering, Business Administration, Information Technology or a related field.
- Track Foreman and/or Manual of Track Requirements training is preferred.
- 1-2 years' experience in asset management maintenance including monitoring and assessing asset related performance and presenting corrective remedies and plans.
- Experience with asset management software or work order management system like SAP PM, IBM Maximo, or HxGN EAM.
- Strong background in asset management and knowledge of asset management principles is considered an asset.
- Understanding of functional business processes for Asset Management solutions is preferred.
- Experience in work order scheduling and resource allocation is preferred.
- Awareness of regulatory requirements and safety protocols in maintenance operations.
- Ability to analyze maintenance data and generate reports for efficiency improvements.
- Experience monitoring asset performance, and managing maintenance schedules to minimize downtime and extend the lifespan of assets.
- Experience with predictive, preventive, and corrective maintenance processes.
- Knowledge of key performance indicators (KPIs) such as time to repair (MTTR) and mean time between failures (MTBF).
- Ability to work both independently and in a collaborative, team environment.
- Proficient in Microsoft 365 with advanced Excel skills.
- Valid G driver's license with ability to travel up to 25%.
- Exceptional communication skills with the ability to articulate and present results.
- Excellent coordination & planning skills with the ability to adapt to shifting priorities.
- Self-directed with strong problem solving and analytical skills.
