Working alongside a 6-person gift-processing team, you will directly support donors, patients, and community partners who reach out by phone and mail. Ideal candidates have experience with accounts receivable, databases, and/or administration and enjoy: Interacting with people through phone and email Working in databases and Excel Keeping files and information organized Structured workdays with consistent core responsibilities each day This role is for organized, detail-oriented people who excel at numbers and databases, and who possess a friendly, helpful disposition, since the position regularly interacts with donors, patients, and community partners by phone. Responsibilities Receive, process, and deposit all incoming donations daily and log transactions for the Philanthropy team. Provide exceptional customer service in both English and French as the lead for the main phone line, facilitating donations, troubleshooting, and triaging calls to appropriate team members. Enter donations and donor information into Raiser’s Edge database with accuracy and attention to detail, in a timely and efficient manner. Download and process gifts from various online fundraising platforms. Liaise with donors and others to seek updated contact information when mail is returned as undeliverable; update donor profiles to reflect changes in address, email consent, mailing preference, and other details. Manage the filing system for all gift documentation, ensuring completeness of records for audit purposes. Perform additional administrative tasks, such as ordering supplies as needed. Qualifications Ability to remain composed when asked questions for which you do not immediately know the answer. Superior organizational and time-management skills. Ability to prioritize tasks and manage a workload that changes during high-giving season. Strong data-entry skills with high attention to detail. Ability to pivot between telephone coverage and focused database/administrative work. Capable of working well under pressure, sometimes with competing priorities. Proficiency with MS Office, particularly Excel and Word. Tact, diplomacy, and maturity in dealing with donors, volunteers, colleagues, and the general public. Ability to work both independently, with minimal supervision, and collaboratively within a team. Experience in Raiser’s Edge (Blackbaud) or other CRM database is an asset. Operational Requirements Willingness and ability to work outside of regular business hours as required. Willingness and ability to work through the busy season; November through mid-January are typical blackout dates for vacation.
