Psychiatry Administrative Supervisor Location: Charlottetown, Prince Edward Island, Canada Base pay range: CA$36.89/hr – CA$45.31/hr Bi‑weekly hours: 75 Hours – Monday to Friday Closing date: Monday, January 19, 2026 at 4:00 pm Responsibilities Acts as the primary point of contact for the Medical Director of Mental Health & Addictions, screening, prioritizing, and resolving inquiries and conflicts. Serves as a point of contact for physicians and staff at work sites for patient or operations issues. Maintains contact with on‑site leads across multiple MH&A sites to address operational and facility issues. Manages general administrative duties, overseeing day‑to‑day activities and assignments of the Psychiatry direct reports. Coordinates health programs and ensures adequate staffing, supplies, and operational needs are met. Monitors and assists with budget management, identifying discrepancies and variances and aiding in forecasting. Coordinates hiring, orientation and onboarding processes, including paperwork, ITSS setups, access, supplies and equipment. Schedules Psychiatry physicians and coordinates their payroll records to comply with agreements. Applies collective agreements, monitoring vacation and leave banks, travel and education for accurate reporting. Manages payroll, claims billing and reconciliations, identifying discrepancies for the Medical Director of Mental Health & Addictions. Confidentially manages patient information and ensures compliance with FOIPP legislation & Health PEI policies. Organizes and chairs staff meetings and ensures matters requiring immediate attention are prioritized. Minimum Qualifications Completion of office administration studies and a diploma/degree in public or business administration, or equivalent experience. Extensive experience in a senior administrative support role within a health care setting. Supervisor experience: assigning responsibilities and providing support and counseling. Experience managing administrative support schedules and employee replacements (before, during and after hours). Experience working in a community‑based health environment (asset). Demonstrated ability to work with limited supervision and in a professional manner. Strong leadership, administrative, and organizational skills. Collaboration with multidisciplinary teams, including physicians. Prioritization and organization skills to meet diverse needs. Proficiency in software: word processing, electronic e‑mail, scheduling, presentations and spreadsheets. Excellent interpersonal skills, problem‑solving, conflict resolution, and communication. Ability to use office telecommunications and computer equipment. Experience with recruitment processes and physician credentialing procedures. Project management and recruitment initiative experience. Valid driver’s license and reliable vehicle access. Strong work attendance record. Experience in renovation projects and purchasing furniture and equipment. Data analysis skills for forecasting resource needs. Management of equipment and supplies within budgeted targets, coding invoices. Other Qualifications Knowledge of WHMIS and Infection Control Standards. ICS 100 and 200. Knowledge of IUOE, PEINU, UPSE collective agreements. Knowledge of Physician Services Agreement. Experience with physician recruitment process. Demonstrated Progressive Leadership experience. Excellent communication, collaboration, conflict resolution, and team building skills. Highly organized, self‑motivated, flexible, positive attitude; strategic thinking (asset). Bilingualism (asset). Reviewing and approving bi‑weekly payroll through Peoplesoft. Recruiting, interviewing, selecting and orienting new administrative staff.
