Position Summary Join our team as an Administrative Associate in Parks & Open Space Services. Reporting to the Director, you will provide administrative, coordination, and logistical support to ensure the smooth operation of the department. This role is essential in managing documentation, coordinating meetings and events, supporting internal processes, and acting as a key liaison for the Director and the management team. Key Duties & Responsibilities Maintain and manage tracking systems for service levels, deliverables, and activities. Draft, edit, proofread, and format correspondence, reports, memos, and service request responses. Prepare and distribute information packages, manuals, and revised standards. Attend meetings, take minutes, prepare follow‑up correspondence, and track progress. Respond to requests for information from internal and external stakeholders. Input, validate, and manipulate data; generate reports from systems and applications. Coordinate calendars, appointments, meetings, and events on behalf of the Director. Triage messages, requests, and inquiries, ensuring timely responses and follow‑up. Develop and review administrative policies, procedures, and systems. Arrange logistics for travel, training, and events. Process, verify, reconcile, and pay invoices. Oversee filing systems in compliance with records management policies. Provide advice, guidance, and onboarding support to new staff in related positions. Support grievance processes, interview panels, and committee participation as required. Provide ad hoc coverage of central irrigation systems, including remote operation, troubleshooting, and documentation of work orders. Key Qualifications The knowledge, skills, and abilities required for this position are typically obtained through: Completion of secondary school or equivalency, plus a recognized certification in office or business administration. Minimum of five (5) years of progressive administrative and/or clerical experience. Knowledge & Skills Strong knowledge of office administration, customer service, and municipal government practices. Familiarity with relevant collective agreements, bylaws, and policies, including health and safety standards. Proficiency in office productivity software, enterprise systems, and records management tools. Effective communication and interpersonal skills to build relationships and manage challenging interactions. Ability to prioritize tasks, adapt to changing circumstances, and contribute to process improvements. Supervisory knowledge to provide guidance and input into performance reviews. Working Conditions Primarily office‑based with standard technology use (computers, tablets, etc.). High volume of repetitive tasks with attention to detail and accuracy. Exposure to stressful interactions with stakeholders in challenging situations. Requirement to sit, stand, and move supplies or materials as needed. Additional Requirements Successful candidates may be required to provide a satisfactory criminal record check per the City of Regina's Criminal Record Check Policy. Proof of education is required.
