Overview Role: Payroll Specialist Location: Hamilton Reporting to: Controller Bonus: TBD Mandate: Productivity On Time, Low Errors, Precise pay to workers; Clear lines of communication with team; Union agreements to familiarize yourself with (5). Responsibilities Prepare and process weekly payroll, ensuring accurate calculation of hours worked, overtime, and union-specific rules. Review, verify, and reconcile timesheets and pay data for accuracy before processing payroll. Maintain a comprehensive understanding of multiple union agreements and pay scales to ensure compliance and accurate payroll calculations. Liaise effectively with union representatives regarding payroll-related inquiries or discrepancies. Ensure compliance with the Ontario Employment Standards Act (ESA), including minimum wage, overtime pay, public holidays, and vacation pay. Stay updated on changes in labor laws. Understand the regulations, calculation and payment schedules of payroll taxes including CPP, EI, Tax, EHT (or other provincial health), WSIB, etc. Utilize Google Sheets and Excel for data entry, management, and reporting, ensuring the security and accuracy of payroll data. Develop and maintain spreadsheets, reports, and dashboards to provide insights on payroll and labor costs. Prepare and submit mandatory payroll-related reports to government agencies, ensuring compliance with provincial tax regulations (including EI and CPP contributions). Respond to payroll-related inquiries from employees regarding paychecks, deductions, and benefits. Provide training and support to staff on payroll processes and policies. Identify opportunities to streamline payroll processes and enhance accuracy through automation and improved reporting tools. Stay informed about best practices in payroll management and industry-specific changes. Profile / Requirements Experience: Payroll experience with 400+ employees; construction or subcontractor experience preferred; multiple union agreements; Google Sheets / Excel proficiency; multi-provincial payroll. Systems: Sage Timberline (nice to have); launching a new payroll application (nice to have). Coachable: willingness to learn and adapt. Logistics Employee count: 175 – could balloon to 500 on any given project. Office: Initially daily for training – the 2 home, 3 in office. After hours: Ideally not, however employees must get paid.
