Join our dynamic team at the University of Ottawa Medical Associates (UMA) in the Division of Nuclear Medicine and Imaging at the General Campus. This temporary position supports attending physicians with office administration, clinic scheduling, and administrative duties related to teaching, research, and clinical practice. Temporary position until approximately February 27, 2027. Rotation/Shifts Days, 8‑hour shifts. Responsibilities Maintains physicians' daily schedule and Outlook calendar, including meetings, appointments, and teleconferencing. Coordinates clinic activities: schedules appointments, notifies patients, and addresses inquiries. Arranges follow‑up appointments, including virtual visits. Produces and completes requisitions and clinical forms, such as legal documentation, medical reports, insurance papers, and WSIB claims. Assists with conference registrations, travel, and accommodation arrangements. Compiles and submits expense claims (travel, honoraria, meeting expenses, legal case opinions). Proofreads documents and composes routine correspondence. Answers phones and responds to messages in a timely manner, evaluating priority and referring when necessary. Updates and maintains physicians' CVs and documentation for professional advancement and annual reporting. Attends meetings, takes and distributes minutes, and assists in meeting preparation. Basic Requirements Community College Diploma or equivalent. Minimum of 3–5 years of related experience. Experience supporting physician research activities. Certificate in medical terminology preferred. Proficient in MS Outlook, Word, Excel and PowerPoint. Experience booking appointments, consultations, procedures and filing patient reports. Meticulous attention to detail. Excellent communication and interpersonal skills. Proficiency in both English and French preferred. Strong organizational, prioritization and time‑management skills to coordinate multiple activities. Good judgment and ability to seek supervisor assistance when needed. Strong problem‑solving abilities. Ability to navigate and populate electronic databases. Ability to handle sensitive and confidential information. Initiative, tact, dedication, diplomacy and a positive attitude. Highly dependable and thorough. Ability to work well with minimal supervision. Clear and concise writing skills. Interested?
