OverviewAthabasca University's Office of the President and Office of the Provost and VP Academic are recruiting for a permanent, full-time Office Operations Lead.This is a place-based role located in Athabasca.The PositionReporting to the Chief of Staff (CoS), the Office Operations Lead (OOL) is responsible for the management, coordination, and flow of information and the administrative activities within and between the President's and Provost's offices. This includes providing advice to the President, Provost and CoS on a range of operational matters as well as conducting the planning, coordination, and implementation of the office and institutional initiatives, projects, and directives.The OOL provides strategic and operational support for the Offices of the President and Provost, and supports integrative work with other portfolios necessary for the development and implementation of the AU impact and academic plans under the Like No Other strategic plan. The role also facilitates community relations and engagement strategies, building relationships within the town and region of Athabasca and establishing a regular presence at events and meetings in the area. The OOL serves as a vital team-based and facilitative member of the offices. This role supports the offices in complex initiatives and assists the President and Provost in advancing their portfolio and institutional priorities. The OOL coordinates the execution of university-wide projects undertaken in both offices, and handles issues, concerns, questions, and requests on behalf of both offices. The position functions as part of the offices' management teams, representing the President's and Provost's offices in all interactions. The incumbent coordinates the financial matters of both offices and oversees the generation of reports and documentation as required. The incumbent manages the day-to-day operations of both offices, ensuring excellence in administration. In all facets of this role, the OOL endeavours to integrate and advance the university's commitments to Access, Opportunity and Community and, with Indigenous Peoples and communities, Conciliation.QualificationsA post-secondary degree with a minimum of five years' related experience demonstrating a high level of responsibility at the administrative level. Experience leading complex projects with institutional impact would be considered an asset. An equivalent combination of education and experience may be considered.This position requires extensive experience in a post-secondary institution or similar environment. Excellent knowledge with interpreting and applying policies, procedures, and collective agreements within a complex organization is required.Strong leadership, communication skills with demonstrated written, verbal and presentation skills are considered an asset. Experience working in a unionized environment considered an asset.Knowledge and proficiency with university-based systems (e.g. Banner, Brightspace, etc.) is required, and experience working with complex IT systems for course development and Enterprise Resource Planning systems (such as Banner) would be considered an asset.Excellent interpersonal, administrative, time management and organizational skills. Must be able to coordinate several activities at once and maintain accuracy along with meeting strict deadlines.
