Your opportunity Dillon Consulting is seeking motivated candidates to fill a Proposal Coordinator position in our Business Development and Sales (BDAS) group. The addition of a new Proposal Coordinator is part of an exciting new approach to managing our proposal sales operations in Dillon As part of our Proposal and Sales Team, this key role will work closely with our Business Units and technical subject‑matter experts to create high‑impact proposal sales submissions. The Coordinator will be responsible for assisting with the management of all aspects of the proposal submission, as well as proposal content generation utilizing Dillon’s proposal management software and associated content reference library. This role is well suited to someone who thrives in a fast‑paced environment, enjoys collaborating with pursuit leads and technical experts across the country, and is highly organized and self‑motivated to excel. Responsibilities Work with Business Units and technical teams to create professional, high‑quality proposals from initiation through to production and delivery of the final product. Use our proposal management software system daily and collaborate with our Proposal Content Specialist; full training will be provided. Review project opportunity documents to evaluate requirements, contractual terms and conditions, and evaluation criteria for bid submission compliance. Compile marketing materials, prepare qualification materials, and coordinate development of graphics and page layout design with our Marketing Department. Coordinate the flow of information to ensure internal and external deadlines are met and appropriate reviews are completed. Complete and/or coordinate document formatting, editing, printing, distribution, and overall document reviews. Develop strong internal relationships to foster timely responses while maintaining high quality work consistent with corporate marketing, brand messaging, and proposal writing standards. Implement quality control measures to ensure proposal requirements and corporate standards are met. Track and monitor potential project opportunities using internal systems. Participate in proposal debriefings to ensure continuous quality improvement and identify enhancements for proposal content and process. Learning and Development Commit to self‑development and ongoing learning and professional development. Qualifications Minimum two years’ experience with preparing proposals and tender submissions. Three to five years of administration‑related experience or a demonstrated combination of education, skills, knowledge, and experience. Post‑secondary education in administration, marketing, business, or communications is considered an asset. Experience Advanced skills in Microsoft Word and experience with large and complex document formatting. Proficient with Microsoft Excel. Strong business writing, editing, and communication skills. Aptitude for formatting, editing, layout and making written content sound like one voice. Excellent attention to detail and a high regard for accuracy and quality. Understanding of basic financial terms and functions, with experience working with budgets and schedules (e.g., Gantt charts). Strong interpersonal, organizational, and time‑management skills with the ability to work successfully in a fast‑paced environment with changing workload demands. Experience in a professional services consulting firm (environmental/engineering/planning) is considered an asset. Experience using proposal management software platforms is considered an asset. Experience with Adobe Creative Suite (In‑Design, Illustrator, Photoshop), Microsoft Project and PowerPoint is considered an asset. APMP Certification is considered an asset.
