We value structure, professionalism, efficiency, and initiative.Reporting to the Chief of Staff, the ideal candidate is passionate about creating a positive and welcoming environment where our team can perform at their best.The ideal candidate is the Jill or Jack of all Trades, has a track record of wearing many hats, – and enjoys itIf you believe you are organized, self-driven, detail-oriented, passionate about planning events and projects, and capable of managing responsibilities with minimal supervision, we want to hear from youMain ResponsibilitiesCoordinate day-to-day administrative flow of office operationsManage office supplies, services, and relocations as neededAssist in the logistics of various internal and external engagement initiativesNegotiate and manage relations with hotels and travel agenciesCoordinate shipments by comparing quotes, creating commercial invoices, and following up on deliveries and creating fulfillment ordersManage requests from import/export brokersMaintain office records, documentation, and databases up to date including company CMS (Contracts Management System)Manage documentation and mail, as well as the signature process from signature to filingPrepare communication documents for internal or external stakeholdersBe the first point of contact for all staff facilities and external contractors (custodians, cleaning services, electricians, plumbers, etc.)Assist employees with their booking arrangements (e.g. Airbnd, flights, hotels)Assist in the execution of Compliance projects as neededQualificationsMinimum 5 years of relevant administrative support experience or similarAdequate knowledge of office management systems and proceduresTech-savvy and proficiency in Microsoft 365 (Word, Excel, PowerPoint), Outlook, Adobe AcrobatProficient communication skills in English, both written and verbalProfileEntrepreneurial mindset, results-oriented, and team player spiritStrong organizational and problem-solving skillsAutonomous, have ease in learning, communicating, and problem-solvingHandles sensitive information in a confidential mannerExcellent time management skills and the ability to #J-18808-Ljbffr
