Reporting to the Food and Beverage Services Manager, this hands‑on position is responsible for ensuring efficient day‑to‑day operations, accurate inventory control and purchasing practices, sound financial management, and compliance with all safety and quality standards. The role supports operational readiness through effective planning, forecasting, and continuous process improvement, while fostering a high‑performing team and delivering exceptional guest experiences. As a managerial position, the Assistant Manager is accountable for staff scheduling, budgeting, performance management, and overall supervision of team members across both operational areas. Under the direction of the Food and Beverage Services Manager the Assistant Manager, Warehouse and Kitchen Operations is responsible for the following: Warehouse Operations, Purchasing & Inventory Control: Oversee daily warehouse operations to ensure efficient use of staff, resources, and budget in support of events and operations. Develop and manage warehouse schedules aligned with operational demands and event timelines, providing hands‑on support as needed. Conduct regular workload assessments and maintain a 2–3 month outlook for staffing, hiring, inventory, and material requirements. Support warehouse operations, including stocking, setup, teardown, and equipment deployment as required. Oversee procurement and purchasing activities, ensuring accuracy, contract compliance, and timely resolution of issues with Finance and the Food and Beverage Services Manager. Kitchen Operations Support & Oversight: Oversee and support kitchen operations to ensure efficient use of labour, food inventory, and resources while meeting quality, safety, and budget standards. Collaborate with the Event & Catering Chef and catering team to coordinate ordering, production requirements, and operational supplies. Ensure all kitchen‑related orders are accurately entered, costed, and tracked in YellowDog. Support production planning by aligning prep schedules, batch sizes, and labour levels with event counts, menus, and sales forecasts to minimize waste. Oversee the receiving, verification, and proper storage of kitchen deliveries, ensuring compliance with food safety standards and addressing discrepancies as required. Staff Leadership & Workforce Management: Serve as the primary management authority for warehouse and kitchen staff, with full responsibility for workforce planning, performance management, and corrective action beyond day‑to‑day coaching. Collaborate with the Warehouse Coordinator and Event & Catering Chef to develop and maintain staff coverage aligned with operational demands, event timelines, and labour standards. Foster a productive, respectful, and accountable work environment that supports engagement and team performance. Communicate, interpret, and enforce company policies, procedures, and operational standards across all warehouse and kitchen operations. Approve timesheets and manage time‑off requests in accordance with established timelines, operational requirements, and payroll deadlines. Financial Oversight & Systems Management: Ensure inventory counts and reports are accurate prior to submission to the Food and Beverage Services Manager and Finance Department. Investigate inventory and cost variances and provide explanations for monthly fluctuations related to event contracts. Maintain and lead system management within YellowDog, ensuring data accuracy and reconciliation with Sage. Collate and authorize weekly payables, ensuring procurement processes and purchase orders are current and compliant. Assist with Food and Beverage budget development, financial forecasting, and capital expenditure recommendations. Safety, Facilities & Regulatory Compliance: Maintain safe, clean, and organized warehouse and kitchen environments in compliance with AHS, WCB, and AGLC requirements. Perform regular facility inspections and coordinate maintenance issues with the Maintenance Department. Manage warranty claims through active equipment tracking and vendor communication. Operational Improvement, Reporting & SOP Development: Identify operational inefficiencies and implement hands‑on improvements across warehouse and kitchen support functions. Provide supplier sales volumes and generate velocity and performance reports for management. Develop, maintain, and update Standard Operating Procedures (SOPs) for all areas under the role’s responsibility. This role is expected to adapt to organizational needs and may take on additional duties or responsibilities as required. Minimum 2–3 years of supervisory or managerial experience supporting operational, administrative, or back‑of‑house functions. Strong computer proficiency is required, including the ability to work within inventory, purchasing, and reporting systems. Demonstrated ability to build, operate, and maintain computerized inventory and purchasing systems, including sourcing price quotations, preparing requisition orders, and reconciling inventory records. Accounting and financial knowledge is required, particularly related to cost tracking and reconciliation. Experience with inventory management systems such as YellowDog is considered an asset. Strong oral and written communication skills. Excellent organizational, planning, problem‑solving, and decision‑making abilities.
