External applicants will be considered after the internal posting process. Summary of Duties Reports to the Manager, Tenant Administration or Supervisor of Tenant Resolution at CityHousing Hamilton. Provides administrative support to operations with respect to tenant placement, rent calculation, maintenance‑related and rent collection functions. Provides customer service to tenants, applicants and the general public and processes maintenance issues by telephone and in person. Key responsibilities include: Providing customer service and acting as primary contact for tenant issues. Verifying applicant eligibility and coordinating income verification and landlord information. Assisting residents with forms and income verifications via phone or in person. Coordinating unit viewings and following up to meet time limits. Reviewing and assessing documentation such as income verification, immigration, birth certificates, affidavits, and tax returns to determine eligibility for rent‑geared‑to‑income subsidy and rent charge. Preparing new leases and tenant files, inputting data into Northgate. Reviewing tenant eligibility and conducting rent calculations annually or as required. Following up with residents for renewal documentation and initiating rent collection processes. Preparing cheque requisitions for tenant refunds. Receiving maintenance requests, creating work orders, and liaising with contractors and maintenance staff to coordinate repairs. Ensuring unit repairs are completed and in compliance before marketing vacancy. Scheduling maintenance appointments for internal staff and external contractors. Composing correspondence and invoices to residents. Liaising with the Property Manager on complex issues. Providing training assistance to new employees. Providing back‑up support to the multi‑incumbent position and other divisional functions. Performing additional duties directly related to major responsibilities. Qualifications Experience in property management support, particularly in rent calculations, property maintenance, and tenant relations, gained through education and work experience. Thorough knowledge of Housing Services Act, 2011; Residential Tenancies Act, 2006; and internal policies on tenant issues, placement, rent calculations, and maintenance. Good analytical and mathematical skills from recognized property management training or post‑secondary education. Excellent communication and organizational skills for processing rent adjustments, lease renewals, and maintenance requests. Knowledge of social programs such as ODSP, Ontario Works, CPP, OAS, RRSP, and annuities to coordinate rent calculations. Proficiency with office procedures, keyboarding, Microsoft Office and Northgate Property Management systems. Ability to work independently with minimal supervision and meet deadlines. Valid Class "G" driver’s licence and provision of a vehicle for use on the job. THIS POSITION REQUIRES A VALID CLASS “G” DRIVER’S LICENCE AND PROOF THEREOF IS REQUIRED AFTER HIRE.
