Reporting to the Supervisor, Transfers, the Senior Transfers Administrator is responsible for the daily processing, review and approval of financial industry transfers and dealing with escalated items. The Senior Transfers Administrator interacts daily with other departments and at times with external financial institutions. Who you areService - You put your clients\' needs first. You proactively encourage collaboration, build trust and inclusion, and work to establish effective relationships both inside and outside of the organization Your day looks likeAccurately and efficiently process transfers in accordance with company policies and procedures, and review and approve staff journalsReview and process month-end reconciliations within deadlineEnsure proper protocol when delaying requests, and be concise when updating tracking systems with relevant information from internal and external sourcesUse pertinent systems in compliance with company policy and industry regulations (e.g., laserfiche, OSM, Dataphile, ATON)Communicate with peers and Supervisor to ensure they are kept up to date on any issues/changes that arise from daily activityEnsure internal manuals are current by updating any changes in company policy, industry regulation and system/procedure changesAct as a department resource, providing coaching and mentoring to staff and coverage for the team and SupervisorAct as a project lead on department projects and represent the team on larger projectsUnderstand the impact to internal and external partners and clients, researching and promptly resolving escalated issuesProvide quality customer service, consistently meeting or exceeding partner and client expectations in day-to-day dealingsExercise sound judgment when balancing the needs of our partners against the needs of the business when handling issues, changing procedures, etcFoster an environment of continuous improvement that leads to idea generation, curiosity, and participation in various initiatives Your experience and skillsPost secondary education in business or financial administration preferredMinimum 3 year\'s experience processing transfers in a back-office department of a financial securities firmSuccessful completion of the Canadian Securities Course (CSC) or IFIC Operations Course is an assetDataphile, ATON, CDS, Arrow and/or Fundserv knowledge and experience is an assetKnowledgeable about registered plan products including RRSPs, RRIFs, Locked-in plans and investments such as mutual funds and equitiesStrong organizational, time management and decision-making skills with the ability to handle multiple tasks in a detailed environmentDemonstrated ability to work calmly, accurately and effectively in a fast-paced environment with the flexibility to meet changing needs and manage deadlinesSuperior customer service skills with the ability to quickly identify and resolve issues to the satisfaction of all partiesExtremely detail oriented and accurate with solid analytical, and problem-solving skillsExcellent interpersonal skills with the ability to establish and maintain effective working relationships with various levels of management and staffAble to work independently, and is a team player who shares knowledge and trains othersHighly self-motivated and results driven with an ability to set priorities and meet deadlines.
