POSITION PURPOSE AND OBJECTIVES This position will represent the Office of the President & CEO by assisting with day-to-day operations and serving as a liaison with the Board of Directors, shareholders, executive management, associates, clients, and other stakeholders. This role will maintain the Executive Offices in a professional and efficient manner, represent the voice of the President & CEO, and show commitment and willingness to work outside of "regular" business hours as needed. Additionally, this position will lead corporate culture by modeling and fostering behaviors that support the organization’s values and culture, creating an atmosphere of trust, collaborations, accountability, and dedication to the organization. This role will also be present and contribute positively to the company culture by modeling core values. MINIMUM QUALIFICATIONS Minimum of 10 years of executive level administrative experience or commensurate experience, required. Proficiency in Microsoft Office products and internet applications, required. Must be able to multitask and set appropriate priorities to successfully complete job duties. ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES Administrative & Operational Support - 35% Proactively schedule all internal and external meetings, travel, luncheons, and events, ensuring calendar conflicts are resolved and in alignment with the President & CEO’s priorities. Set deadlines for assignments and collect deliverables from Executive Leadership Team on behalf of President & CEO. Build presentations, charts, spreadsheets, and agendas. Manage incoming and outgoing correspondence. Review submitted complaints via the client facing website, work with appropriate business unit leaders to resolve the complaint or issue to satisfaction, ensure documentation for compliance and appropriately respond to the client on behalf of President & CEO. Track, maintain, and submit (including but not limited to) subscription management, CRA hour tracking, donation request submissions and approvals, timekeeping, and expense reporting. Associate Communication & Reach - 25% Develop and administrate communications program and process, using various touch points and communication vehicles to drive visibility, reach, communication, and engagement. Create, plan, and implement communication plans for CEO to Associate connection such as, but not limited to: Semi-annual Town Halls Semi-annual Corporate Walks Emails, coffee chats, lunches, etc. Special Assignments & Projects - 20% Work on assignments & projects that may involve tasks outside of regular responsibilities, often requiring cross-functional collaboration, strategic thinking, and adaptability, from beginning to end, through but not limited to: Data analysis and insights. Resourcefulness using resources and collaboration to get to the root of the issue or ideate on solutions. Provide recommendations and ways forward to solve an issue, troubleshoot, or develop a better way of doing something. Internal Travel Program - 10% Manage vendor partnerships for travel program(s) and hotel partnerships. Set individuals up in travel system as requested. Reconcile monthly travel expenses and submit reporting to Accounts Payable. Executive Corporate Credit Card Expenses - 5% Reconcile monthly expenses for Executive Offices and submit reporting to Accounts Payable ensuring appropriate documentation. Other Duties - 5% Assist Executive Chair as needed and collaborate with and back up the Executive Chair Executive Assistant. Work as part of the Executive Assistant team, supporting and collaborating as a cohesive group. Maintain a working knowledge of compliance requirements affecting your position and area of responsibilities and actively learn new regulations and assist in the implementation, if required. Proactive Planning: Schedules meetings and events in advance, ensures deliverables are met, and follows up on outstanding items without reminders. Decision-Making: Uses sound judgment to prioritize tasks, manage schedules, and resolve issues, especially when moving meetings or handling urgent requests.
