Major Responsibilities: Prepares meeting materials for agendas for Board of Directors and Executive Committee using meeting management software (e.g. eSCRIBE); Prepares and distributes meeting agendas for Advisory Committees, using meeting management software; Acts as the Recording Secretary for Board of Directors, Executive Committee, Advisory Committees using meeting management software; Maintains report tracking and other relevant lists for Board of Directors, Executive Committee, and Advisory Committee meetings; Supports the Clerk’s Office, Board of Directors, and Advisory Committees in performing policy analysis and research duties as well as special projects, responding to and developing communications for stakeholders; Prepares meeting materials or agendas for corporate meetings and internal committees, including, but not limited to Agenda Review Team (ART), Senior Leadership Team – Policy Approvals (SLT-PA), Senior Management Team (SMT), and Policy Committee (PC) using meeting management software; Organizes and leads training and development sessions for staff in relation to meeting management software and policy management best practices and report and policy writing; Supports other divisional and corporate functions and duties, as required; Develops and implements processes for creating, changing and distributing policies, guidelines and procedures, including the maintenance and review of policy development schedule; Supports the Clerk’s Office, Board of Directors, Advisory Boards and Committees in performing policy analysis and research duties as well as special projects, responding to and developing communications for stakeholders and assists the Clerk and Manager, Policy in updating policies, procedures, and manuals to align with legislative updates.
