Senior Conference Producer – Marberg Staffing Base pay range CA$43.47/hr – CA$64.05/hr Job type: Temporary Initial Term: December 8 2025 – October 30 2026 Regular work hours: 7.25 work hours per day (including a 45‑minute unpaid lunch break), Monday‑Friday, 8 am–4:30 pm (36.25 work hours per week). Additional paid hours may be required based on client needs. Work location: Hybrid – remote and onsite at the client’s downtown Toronto office and GTA conference venue. A 100% onsite requirement will apply leading up to and during conference dates. Ergonomic requirements: In addition to desk work, regular off‑desk responsibilities include handling presentation materials, setting up presentations, travel to event sites, and other conference coordination tasks. Travel requirements: Local, same‑day travel within the GTA. Onsite dress code: Corporate or Business Casual per client requirements. Reports to: Manager, Operations and Special Projects Responsibilities summary Lead conference‑related projects from concept through completion within specific timelines, providing project leadership and advice to the assigned team. Lead consultations with stakeholders to ensure a shared understanding. Prepare, lead, and present briefings on complex issue analysis to senior management. Prepare project plans and monitor work using project management software. Monitor operational work, risks, actions, issues and decisions. Oversee preparation and approvals of contract and vendor management proposals. Respond to issues, provide recommendations and prepare reports. Work collaboratively to resolve issues and negotiate changes and shifts in priorities, demonstrating sound judgment, sensitivity and political acuity. Manage and coordinate on‑site conference operations, including planning and event management before and during the conference. Assess effectiveness of events and programming against agency initiatives and goals. Complete conference close‑out and debriefs. Additional conference and project coordination responsibilities as required. Qualifications Education: Post‑secondary education in Business Administration, Communications, Project Management, Special Events Coordination, or equivalent combination of education and work experience. Preferred work experience: At least 5+ years of progressive, professional experience in large‑scale special events coordination. Preferred sector experience: Public sector experience preferred and/or working with a diverse range of stakeholders, including general public. Technical and language skills: Strong proficiency in standard MS Office software – Word, Excel, PowerPoint, Outlook and Teams. Proficiency with project management tools, e.g. ClickUp. Expert‑level English communication skills, both written and verbal, including advanced business writing and verbal presentation skills suitable for senior leadership. Task‑based qualifications and additional attributes: Demonstrated senior‑level experience in event management, including coordinating, planning and running large‑scale events. Demonstrated expertise creating and managing complex stakeholder relationships. Demonstrated record of professional conduct and character; responsible, reliable and deadline‑oriented. Proven ability to handle confidential information professionally and exercise good judgment in applying organization policy. Superior attention to detail, organized, methodical approach to task completion. Advanced organizational, coordinative and time‑management skills with the ability to prioritize tasks effectively for self and others. Demonstrated team leadership skills with the ability to motivate and engage a diverse group of internal and external stakeholders at all levels of seniority. Demonstrated ability to apply project management principles, methodologies and best practices. Strong relationship management skills including client and vendor relations management, business networking, negotiation, change management and consulting/advisory skills. Demonstrated successful experience of prioritizing work, making decisions and communicating with others within a values framework of respect, equity, anti‑racism, diversity and inclusivity. Additional requirements: Fully commit to the complete term of assignment to October 30 2026; prepared to work 100% onsite and extra hours as needed during conference dates. Provide a minimum of 2‑3 satisfactory professional references promptly upon request. Complete a virtual interview within 24‑48 hours notice. Legally entitled to work in Canada, providing satisfactory documentation upon request. Ability to work both remotely and onsite as required, abiding by organization health and safety policies. Ability to declare personal non‑conflict of interest in executing assignment responsibilities. Provide certification of AODA and OHSA online training course completion prior to assignment start. Additional satisfactory background checks, technical skills evaluations, interpersonal skills evaluations, and employment references as required.
