Compensation:
From $43.47 per hour to $64.05 per hour, according to experience.

Regular Work Hours:
7.25 work hours per day not including 45 minute unpaid lunch break, to be worked between standard business hours of 8 am to 4:30 pm, Monday to Friday work hours per week). Additional paid hours will required during the course of the assignment according to client business need, including early starts, evenings and weekends.

Work Location:
Hybrid - combination of remote-based and onsite at client's downtown Toronto office and GTA conference venue, according to client business need, including onsite at both the office and the conference venue. There will be a 100% onsite work requirement leading up to and during the conference dates. Onsite work expectations subject always to client business requirements, and may change according to client business need.

Ergonomic Requirements:
In addition to regular desk work, ergonomic requirements include standard off-desk work related to conference coordination, including handling presentation materials, presentation set ups, travel to event sites, etc.

Travel Requirements:
Local, same day travel requirements within the GTA.

Onsite Dress Code:
Corporate or Business Casual according to client business requirements. Corporate scent-free policy in effect.

Position Reports To:
Manager, Operations and Special Projects.

Responsibilities Summary:

Provide event planning, management, coordination, and operations support for upcoming large-scale conference, including conference lead-up, on-site conference operations and conference close-out and debriefs, effectively interpreting and applying relevant policy, procedures and legislation throughout.

  • Lead conference-related projects from initial concept through completion within specific timelines, providing project leadership and advice to assigned professional team.
  • Lead consultations with stakeholders ensuring a shared understanding.
  • Prepare, lead and present briefings on complex issues analysis to senior management.
  • Prepare project plans and monitor work using project management software and tools.
  • Monitor operational work, risks, actions, issues and decisions.
  • Oversee preparation and approvals of contract and vendor management proposals.
  • Respond to issues, provide recommendations and prepare reports.
  • Work collaboratively to resolve issues, and negotiate changes and shifts in priorities, demonstrating sound judgement, sensitivity and a high degree of political acuity.
  • Manage and coordinate on-site conference operations, including planning and event management before and during the conference.
  • Assess effectiveness of events and programming against agency initiatives and goals.
  • Complete conference close-out and debriefs.
  • Additional conference and project coordination responsibilities as required.

Qualifications:

Education:
Post Secondary Education in Business Administration, Communications, Project Management, Special Events Coordination, or equivalent combination of education and work experience.

Preferred Work Experience:
At least 5+ years of progressive, professional experience in large-scale special events coordination.

Preferred Sector Experience:
Public sector experience preferred and/or working with diverse range of stakeholders including general public preferred.

Technical and Language Skills Requirements:

  • Strong proficiency in standard MSOffice software, including Word, Excel, PowerPoint, Outlook and Teams (some applications may be tested).
  • Proficiency with project management tools, e.g. ClickUp.
  • Expert level English communication skills, both written and verbal, including advanced level business writing skills and verbal presentation skills suitable for a diverse range of audiences including senior leadership.

  • Demonstrated senior level experience in event management, including coordinating, planning and running large-scale events.
  • Demonstrated expertise creating and managing complex stakeholder relationships.
  • Demonstrated record of professional conduct and character. Responsible, reliable and works to deadlines.
  • Proven ability to professionally handle confidential information and exercise good judgement in the interpretation and application of instructions and organization policy.
  • Superior attention to detail, and organized, methodical approach to completion of tasks.
  • Advanced organizational, coordinative and time management skills, with the ability to prioritize tasks effectively for self and others, meet tight deadlines and work well under pressure.
  • Demonstrated team leadership skills, with the ability to motivate and engage with a diverse group of internal and external stakeholders, at all levels of seniority.
  • Demonstrated ability to apply project management principles, methodologies and best practices.
  • Strong relationship management skills including client and vendor relations management, business networking, negotiation, change management and consulting/advisory skills.
  • Demonstrated successful experience of prioritizing work, making decisions and communicating with others within a values framework of respect, equity, anti-racism, diversity and inclusivity.

Additional Requirements:

  • Must be able to fully commit to the complete term of the assignment to October 30, 2026. It is critical that you be prepared to work 100% onsite and extra hours as needed during the conference dates and in the weeks surrounding the conference dates.
  • Must be able to provide a minimum of 2-3 satisfactory professional references promptly upon request, who are easily available to speak with Marberg or Marberg's client, and who can strongly attest to your required skills and experience.
  • Must be able to complete a virtual interview within 24-48 hours notice.
  • Must be legally entitled to work in Canada, providing satisfactory documentation upon request.
  • Ability to work both remotely and onsite as required, abiding by organization health and safety policies.
  • Ability to declare personal Non-Conflict of Interest in execution of assignment responsibilities.
  • Provision of certification of AODA and OHSA online training course completion prior to assignment start.
  • Additional satisfactory Background Checks, Technical Skills Evaluations, Interpersonal Skills Evaluations, and Employment References as required.
