Reporting to the Vice Chair (VC) of Education and Training, the Manager, Medical Education Programs manages a team of administrators to support the implementation and operation of the Department of Medicine (DoM) education and training mandates while supporting national and international standards of teaching excellence. The Manager distributes workload, communicates across teams, and performs quality control and assurance activities. This position works closely with DoM medical education Program Directors (PD), Education Directors, administrative Directors, as well as the administration of the Faculty of Medicine (FoM), University of Ottawa (uOttawa). li>Work with the VC and education and administrative directors to develop an operational strategy and implementation of resource centralization.Promote effectiveness of office resources by identifying challenges, developing solutions, and determining effective implementation strategies.Lead and support transitions, facilitate engagement, and implement strategies to ensure effective implementation of operational processes and practices.Provide direction, training, mentoring, and coaching to the Medical Education Office employees to ensure the highest level of service to all programs.Work with the VC and administrative directors to develop office policies and processes (ie, office management practices, financial processes, etc.).Facilitate full-cycle recruitment, retention, evaluation, and training plans for administrators.Manage employee performance and attendance.Work with the VC and administrative directors to prepare and manage the central education office budget.Assist PDs and PAs with the management of educational program financial activities and processes or funding concerns.Develop reports for tracking program effectiveness through data collection and analysis.Adhere to DoM policies and provide input for change to meet operational needs.Support the VC and PDs to plan and execute the strategic direction of the medical education programs by promoting centralized and collaborative resource utilization.Utilize knowledge of medical education program requirements to develop efficiencies, advance and improve utilization of technology and software, update policies, and manage changing PARO requirements.Provide administrative leadership and organization for accreditation across DoM education programs. li>Responsible for ensuring all education programs have adequate administrative support for operational effectiveness.University degree in a related discipline or a combination of related education and experience.A minimum of 7 years’ experience as a Program Administrator supporting a medical education program.5 years supervisory/management experience.Demonstrated knowledge of medical education programs, Royal College of Physicians and Surgeons, The College of Family Physicians of Canada standards and Accreditation standards, PARO regulations.Proficient in technology related to medical education, including CanAMS, WebEx, One45 and Elentra. li>Strong knowledge of and ability with Microsoft Office programs and applications.Experience analyzing data related to medical education to identify trends and inform program improvements and enhance trainee experience.Understanding of budgets and resource allocation and experience capitalizing on new funding sources related to medical education.Experience with managing an administrative office budget and metric reporting.Experience leading and supporting workplace change is an asset.Excellent organizational, prioritization, and time-management skills required to coordinate multiple activities.Flexible to changing needs and priorities in a dynamic academic medical learning environment.Ability to perform duties in a professional and courteous manner and produce high-quality work while meeting deadlines.Knowledge of applicable legislative, corporate (OHRI, TOH, uOttawa) and/or departmental policies.Client service oriented, with the ability to effectively work with diversity and appreciate that people with different opinions, backgrounds and characteristics bring richness to the workplace.
