Work Schedule: Full-time, hybrid (Monday to Thursday in-office, Fridays remote)

About Our Client:

Our client, a highly reputable investment firm located in the heart of downtown Toronto, is seeking a skilled and professional Executive Assistant to join their dynamic team. Key Responsibilities:

  1. Executive Support: Provide high-level administrative assistance to senior executives, including calendar management, travel arrangements, meeting coordination, and correspondence.
  2. Scheduling: Organize and maintain schedules, ensuring seamless coordination of meetings and events.
  3. Communication: Act as the primary point of contact for internal and external stakeholders, managing calls, emails, and correspondence with professionalism and discretion.
  4. Document Management: Prepare and edit reports, presentations, and other documents, ensuring accuracy and timely delivery.
  5. Office Operations: Support daily office functions, including managing supplies, handling expense reports, and other administrative tasks as needed.

Qualifications:

  1. Experience: Minimum of 5+ years of experience in an Executive Assistant or similar administrative role, preferably within the financial or professional services sector.
  2. Education: Post-secondary education in business administration or a related field is an asset.
  3. Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); familiarity with scheduling software is a plus.
  4. Soft Skills: Excellent communication and interpersonal skills, with the ability to handle sensitive information confidentially.
  5. Attributes: Highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment.
  6. Location: Must be able to work on-site in downtown Toronto, conveniently located within walking distance of Union Station.
