This role is part of our Residential Leasing Department and reports directly to the Residential Leasing Manager. Along with reception duties, this position supports the administrative functions of the leasing team. Hours of Work: 8:30am - 5:00pm. One hour for lunch. Work Location: Southwest Properties' Main Office. This role is a reception-based position and is therefore not eligible for remote working arrangements. Customer Service Answer and direct telephone calls. Greet and announce walk-in visitors. Process cash, cheque, or debit payments. Maintain knowledge of all departments and roles to best direct incoming calls and inquiries. Keep detailed and accurate records of visitor requests and calls received/resolved. Handle queries via phone, email, and general correspondence. Professionally manage customer situations by documenting information and directing to the appropriate department. Assist coworkers and teams on an ad-hoc basis. Administration Open and sort internal and external mail. Complete mail drop-off at the end of each working day. Send and receive courier items, locally and internationally. Open and close the reception area daily. Tenant Relations/Leasing Administration Maintain up-to-date documents on vacant/upcoming locations including appropriate links, floor plans, and pricing. Respond promptly and accurately to inquiries on multiple communication platforms: Live-Chat, Southwest Leasing Portal, incoming calls, internal partner queries, and walk-in traffic. Monthly tracking and reporting of unit turnovers. Manage the competitor analysis spreadsheets, updating as required. Create and record tenant communication (e.g., Month-to-Month requests) in accordance with the NS Tenancy Act. Maintain the waitlist for residential portfolio according to the prospects' needs, budget, location, and time frame. Navigate in-house systems such as Yardi, Rent Cafe, Rent Check, and SharePoint. Input tenant insurance information into Yardi. Forward resident contact information to Bell Aliant. Support the Leasing Team. Your Environment You will work in an office setting, stationed at the reception desk in the front lobby. What Will Help You Succeed Our ideal candidate is a high energy team player with strong initiative, multitasking, and organizational skills. They are punctual, with a reliable attendance history. Strong customer service, interpersonal, and cross-cultural communication skills. Ability to interact effectively with all employees, stakeholders, and the general public. Ability to perform in a fast-paced environment. Ability to perform assigned duties with minimal supervision. Heightened attention to detail. Sound knowledge of effective and efficient administrative/secretarial procedures and techniques. Proven ability to learn and adapt to new technology.
