Allied is seeking a bilingual Specialist, Lease Administration to work in Toronto.

In this role, you will support the lease administration function by being accountable for successfully completing all necessary functions, tasks and workflow requirements pertaining to the commercial lease set-up, data management and lease abstract process within specified deadlines. You will manage your deliverables within a time sensitive and accurate manner whilst adhering to our team's national standard operating practices. Elevated attention to detail with the ability to decipher information within commercial real estate leases is critical. The ideal candidate is self-motivated and detail oriented, organized and has proven capabilities in multi-tasking, problem solving and prioritizing workloads.

Key Responsibilities
  1. Within your assigned region, you are responsible for the daily management of all fully executed Offers to Lease, Agreements, Amendments and other lease documents to ensure that rates, square footages and all applicable calculations are correct prior to initiating the lease set-up process within our ERP system, Yardi Voyager.
  2. Ensure that all date ranges, charge codes, and lease type fields are setup accurately, including the most relevant additional rent or gross rent allocation installments.
  3. Accountable for accurately completing the Yardi lease set-up and abstracting process within the specified timeline and to ensure that accurate leasing data is maintained within the system.
  4. Provide quality control for all aspects of the lease documentation set-up process.
  5. Consistently demonstrate exceptional management of workload in compliance with department standard operating procedures and deadlines.
  6. Lead by example within the team by promoting accountability and an elevated level of excellence focused on a team centric, cross departmental collaborative approach with all tasks.
  7. Be self-motivated, detail oriented, organized, and have proven capabilities in multi-tasking, problem solving and prioritizing workloads.
  8. Collaborative management of the team abstracting inbox.
  9. Ensure timely and accurate follow up of all requests received, and initiate follow-up communication for all leases in progress where additional information is required to complete setup.
  10. Provide regular status updates to the Associate Director, Lease Administration as required.
  11. Support the team by covering for other regions where applicable ensuring adequate vacation coverage or as required based on volume of deals.
Requirements
  1. University or College degree or equivalent experience.
  2. Bilingual in French and English is required.
  3. Minimum of 2 years' lease administration experience within the industry, with a preference for commercial real estate.
  4. Comprehensive understanding of commercial lease terminology with an ability to apply this understanding in performing job responsibilities.
  5. Knowledge and understanding of the basic accounting and finance principles and familiarity with their application flow and impact with respect to real estate analysis.
  6. Previous Yardi experience an asset.
  7. Must consistently demonstrate excellent communication (both written and verbal), organizational, and analytical skills.
  8. Provide a high level of attention to detail for reliability and accuracy.
  9. Proven capabilities in multi-tasking, problem solving and prioritizing workload.
  10. Demonstrates a team-centric positive approach to daily responsibilities.
  11. Proactive approach with the ability to work independently under minimal supervision using your stellar organization and time management skills.
  12. High customer service orientation with demonstrated ability to build and maintain internal strong working relationships across multiple business lines.
  13. Proficient in working well under pressure whilst producing desired results that successfully meet deadlines within a time sensitive, fast-paced environment without compromising data integrity and that are in-line with management expectations.
  14. Excellent interpersonal skills, positive attitude, friendly, responsive, are comfortable dealing with individuals at all levels of the organization and has a proven ability to build relationships.
  15. Ability to integrate special projects without compromising the completion of daily deliverables.
  16. Collaborative team player.
