Executive Assistant, Office of Strategic Management Join the Office of Strategic Management (OSM), which partners with the bank’s C‑suite and senior leaders to drive strategy. As an Executive Assistant, you will support two executives, manage administrative functions, oversee financial & HR activities, and drive process improvements. Responsibilities Provide senior‑level administrative support to two executives, including calendar management and event coordination. Distribute meeting invitations, reserve rooms, and coordinate resources for efficient meetings. Build relationships with internal and external stakeholders. Collect, organize, and produce data for reports and dashboards. Plan, coordinate, and execute departmental events. Integrate information from multiple sources to streamline processes. Contribute to planning and implementation of administrative programs. Coordinate budgets and monitor financial reporting against targets. Maintain comprehensive filing systems, ensuring prompt access to documents. Mentor junior administrative assistants, supporting their development. Create tailored communications, including writing, editing, and distributing correspondence, presentations, policies, and procedures. Process invoices per protocols, prepare and log expense claims, and track expenditures within budget. Arrange travel, book flights and accommodations. Act as liaison with internal departments and external vendors for premises and building matters, staff onboarding/offboarding, office relocations, space planning, and furniture requirements. Manage vacation and absence scheduling, resolving conflicts according to guidelines. Coordinate staff training requirements, research, booking, cancellations, and confirmations. Demonstrate creative problem‑solving, exercising sound judgment to resolve issues independently within guidelines. Qualifications 5-7 years or more of administrative or professional support experience, with increasing responsibilities. Post‑secondary degree in a related field. Specialized knowledge gained through education or business experience. Strong verbal and written communication skills; collaboration and teamwork abilities; problem‑solving and influence skills. Compensation & Benefits Salary Range: $45,500.00 – $84,500.00. Pay Type: Salaried. Salaries vary by location, experience, education, and may include commission structure. Part‑time roles will be pro‑rated. The total compensation package may also include performance‑based incentives, discretionary bonuses, health insurance, tuition reimbursement, accident & life insurance, and retirement savings plans.
