Reporting to Quality Manager, the Document Controller is responsible for receiving, managing, tracking, maintaining, and distributing documents to the project team (internal and external) as per Graham’s document distribution matrix using an EDMS (Electronic Database Management System). The incumbent is responsible for training external and internal team members on Graham’s internal and client‑based procedures and processes (contractual obligations), which can vary by project. This role is in our Bonnyville Office and is a Monday to Friday schedule. Essential Functions Execution Receive, decipher, and process documents from the client, engineering firms, subcontractors, and team members. Transmit documents after confirming their accuracy. Identify any discrepancies in the documents and/or submittal, and notify the originator of the discrepancy. Respond to any discrepancies, rectifying or correcting the discrepancies based on a priority of tasks. Enter documents into EDMS and associate all applicable metadata based on the requirements of the job. Carry out revision control as it pertains to hard copies and soft copies per contract requirements. Ensure the DDM (Document Distribution Matrix) is maintained and updated. Train the team on how to use the EDMS in the office or in the field to find documents. Audit own work to ensure accuracy. Submit documents as per Graham’s contractual requirements. Issue weekly project reports. Planning and Process Compile weekly reports for the project team. Manage and strategize priorities, deadlines, and workload. Process documents within 24 hours as per a service level agreement. Demonstrate an understanding of the priorities and the needs of the team / project and communicate with the team accordingly. Decipher project specs, understand project/contract requirements, and maintain project deadlines. Client Focus Collaborate with document control partners to attend to clients’ needs. Maintain open and effective communication with stakeholders. Communicate with Project Managers, Superintendents, and other project personnel with an open line to work through issues. Build a relationship with the members of the project team. Education, Experience and Knowledge Completion of a high school diploma. Minimum 1 year of relevant experience. Experience with similar‑sized projects or types of projects. Experience working in the division is an asset. Admin experience as a document controller. Attention to detail with a critical eye. Experience applying and understanding metadata. Strong understanding of engineering drawings and terminology. Clear understanding of how to process and format documents. Highly organized and self‑motivated. Ability to think critically. Ability to multi‑task. Ability to thrive in, respond to, and work effectively in a fast‑paced environment. Experience with SharePoint, Ineight, Aconex, Procore, Access, metadata tracking, Bluebeam/Adobe, and MS Office Suite. If this sounds like you, then Graham may be the right fit. Apply today.
