OverviewVVA Retirement Communities is seeking a Concierge at a VVA Retirement Community in Carleton Place, Ottawa Valley. This is a part-time role with Weekdays and Weekends, Day and Evening shifts, 30 hours bi-weekly. The position focuses on delivering high standards of customer service and supporting community members and guests.We offer a competitive salary and benefits, team meals, vacation, sick pay and incentive premiums. Successful applicants will work within a team that strives to make today great and a positive impact on our community.The CareerAs Concierge, you will be accountable for your schedule and duties, with emphasis on telephone etiquette, clear communication, record keeping, and organization. You will be the first contact for Community Members and visitors, provide exceptional service, and participate in the emergency response team when needed. You will document findings in the communication binder and report to the Services Manager/Community Director or designate. Maintain confidentiality and privacy in day-to-day tasks, and collaborate with the Services Manager/Community Director to address needs of Community Members and prospective residents.Key ResponsibilitiesDirectly communicate with community members and guests in person and by telephone to handle concerns and escalate to the appropriate manager when necessary.Provide information on the community, services, events, and arrange local activities.Arrange tours, transportation, tickets, bookings, appointments, and reservations as needed.Supervise entrance and exit for community members and guests; ensure safety and clear passageways.Assist with automobile issues for community members when necessary.Plan and coordinate details for conferences and events for community members and external groups.Respond to emergency calls and contact EMS or emergency contacts as required.Follow up on issue resolutions with community members, families, and other team members.Maintain documentation for community members and communicate changes to the team (phone, written, verbal).Conduct audits as requested by the Services Manager and report any wellness concerns observed in community members.Follow infection control protocols as needed (e.g., outbreaks).Support management with managing common areas and attending department/community meetings.Contribute to departmental goals and assist with Waterside operations, talent and training, and Health & Safety plans.Undertake other projects and responsibilities as assigned.QualificationsPost-secondary training or relevant experience in tourism or hospitality management preferred.Some experience with seniors is desirable.Knowledge of MS Office (Outlook, Word, Excel).Excellent communication and customer-service skills.Strong knowledge of the local community and area.Good problem-solving and organizational skills.Ability to communicate clearly with peers and subordinates; strong teamwork orientation.Ability to manage time effectively with little supervision.Up-to-date police check – vulnerable sector (verifed annually).Ability to work as a team member and understand others’ priorities.Ability to bend, stretch, sit, and stand for long periods; lift up to 50 lbs.Flexible hours and weekends; available for call-ins.Clear verbal and written English communication.VVA Retirement Communities welcomes and encourages applications from people with disabilities.
