As a member of the Finance department, the Senior Payroll Administrator is accountable for all aspects of the Ontario and Quebec payrolls. The successful incumbent plays a critical role in processing and administering payroll, preparing monthly/quarterly and annual reports, issuing all year end tax documents and ensuring all regulatory filings are completed accurately. This Senior Payroll Administrator reports to the Director of Finance.
KEY RESPONSIBILITIES:
Payroll Processing:
● Ensure timely and accurate processing of our weekly, bi-weekly and semi-monthly payrolls for hourly and salaried staff across Ontario and Quebec
● Review timesheets on a weekly basis and address any concerns with supervisors/managers as necessary to ensure accurate submission of hours for payroll processing
● Generate ROE’s and letters of employment as required and respond to related government or external inquiries in a timely manner
● Distribute union seniority list to union stewards on a quarterly basis
● Compliance with Canadian payroll legislation and federal / provincial standards
● Respond to requests for payroll related information and support any audits as necessary
● Document payroll processes through SOP’s to assist with improving payroll practices for greater efficiency
Reconciliations and regulatory filings:
● Reconcile, prepare documentation and ensure prompt payment for EHT, Union Dues, WSIB and all RRSP remittances
● Verify occurrence of calculations, accruals and reconciliation of month end payroll, and benefits accounting activities
● Complete quarterly reconciliation of payroll and process any adjustments required to ensure accurate T4/Releve’s at year end
Benefits and RRSP Administration:
● Prepare RRSP contribution file within 5 days of the end of the month to submit to Canada Life to allocate contributions into employee files
● Assist with configuration of direct remittance process within Ceridian for our benefits and financial plans
● Ensure all new employees are enrolled in the benefits and RRSP according to plan guidelines and CBA requirements. Distribute benefits cards to employees in a timely basis
● Participate in weekly orientation sessions with all new employees to provide payroll and benefits overview and meet with staff closer to eligibility date to review plans in more detail
● Establish direct remittance process for all RRSP contributions through Ceridian Dayforce
● Actively participate in benefits renewal meetings to review data and discuss changes or concerns
● Coordinate open enrollment on a bi-annual basis
QUALIFICATIONS AND EXPERIENCE REQUIRED:
● Degree or diploma in Finance, Business Administration combined with a minimum of 7 years of payroll processing experience. Preference will be given to candidates who are working towards or have completed their PCP or CPM certifications
● Comprehensive knowledge of Canadian payroll legislation
● Candidate must have experience with Ceridian Dayforce
● Demonstrated ability to multitask with exceptional attention to detail
● Ability to maintain confidentiality and deal with sensitive information
● Excellent problem solving skills with demonstrated ability to troubleshoot, investigate and make recommendations to resolve issues
● Experience with benefits and RRSP plans required
● Proficient in MS Office and Google suite of products
● Self starter with the ability to work independently
You will process payroll for approximately 600 employees.
You will work a minimum of 3 days in Grimsby and possibly one day in the Niagara location and one day from home.
Salary- 80K-90K
