The receptionist will manage the day-to-day activities for the assigned property/facility and be the on-site key point of contact for visitors and clients. The receptionist will work closely and provide support to the multiple client departments, as well as liaise with the Toronto head office. The receptionist will provide support to the warehouse team with shipping, reports, orders and payments. The receptionist is responsible for delivering exceptional client experience every day through engagement, communication, service and other duties as required. The role requires exceptional customer service and an ability to assist and troubleshoot as necessary.
WHAT YOU’LL DO
- Creates memorable human experiences for the client, the internal JLL team
- Greet visitors, answer phone calls, and respond to all inquiries in a professional, courteous manner
- Manage visitors and any guest passes as needed
- Maintain cleanliness and professional appearance of reception and waiting area
- Manage office supplies and photocopier duties
- Manage catering orders and set up for office functions
- Collaborate daily with Customer Service department calling customers and entering orders for next day delivery
- Work with all teams to create daily, weekly and monthly custom reports
- Act as sole Mailroom clerk for the office
- Responsible for all services related to the Mailroom, such as receiving, unpackaging, sorting, re-packaging items, creating shipping labels, and notifying employees of packages
- Assist with international shipments. Create commercial invoices for products leaving or entering Canada. Work with client customs team to ensure timely clearance of packages
- Manage incoming and outgoing driver deliveries
- Manage shipment of draught equipment to other provincial installers/local customers
- Manage shipments of samples for breweries/marketing teams
- Works collaboratively within the account team in the delivery of the services across all business lines (FM, Engineering, Transactions, Projects, etc.)
- Distribute all employee related payment information
- Receive all walk-in orders and payments at site
- Collect and forward all employee receipts as needed
- Receive, process and finalize customer orders
- You enjoy and excel working in a fast-paced/transactional environment.
- You are detailed oriented to deliver results timely and with the highest quality.
- Ability to interact with a wide range of client staff, including senior levels
- Has a customer service oriented attitude
- Excellent verbal/written communication and presentation skills with the ability to communicate professionally
- Highly organized and detail oriented with the ability to identify and manage priorities that may shift frequently and deliver results timely with the highest quality.
- Strong work ethic and interpersonal skills. energetic, articulate and personable. Ability to work well with others at all levels, including senior leadership, and across organizations.
- Proficiency with Microsoft Office Suite – Word, Project, Power Point, Excel.
- SAP experience is preferred.
- The work environment requires a physical presence onsite at the facility to oversee daily operations and serve as the client contact.
