Our teams operate from offices in Vancouver and Victoria and routinely support projects across Canada, including field work and remote collaboration. We also integrate advanced 3D laser scanning and virtual reality workflows to capture as-built conditions, improve design accuracy, and support stakeholder reviews.*Role Summary*We are hiring an IT Systems Specialist to own day-to-day IT operations and continuously improve our security, reliability, and user experience. This is a hands-on, full-scope role in a small, fast-moving engineering firm: you will provide responsive, practical support directly to staff (no ticketing bureaucracy), manage our Microsoft 365 environment, maintain endpoint and network security, support engineering software and data workflows (including ShipConstructor and its database-connected environment), and lead hardware procurement and lifecycle management. Most day-to-day IT issues will be handled in-house; you will also establishand manage a right-sized managed service provider (MSP) relationship for escalation, vacation coverage, and specialized needs. When support demand is light, you will help maintain and improve our website and support basic marketing and digital presence tasks.*Key Responsibilities*End-user support and operations· Provide timely, professional helpdesk support for Windows laptops/desktops, mobile devices, printers, and peripherals across Vancouver, Victoria, and remote sites.· Onboard and offboard staff: account provisioning, device setup/imaging, software installation and licensing, security baselines, and access management.· Provide direct, practical support without a formal ticketing system; communicate status clearly, document recurring fixes, and keep the team productive.· Handle approximately 90-95% of day-to-day IT issues in-house; coordinate with an MSP for specialist escalation and surge capacity when required.· Assess, select, and manage a suitable MSP to cover gaps (e.G., vacation coverage, after-hours/24-7 support requirements, and specialized projects).Microsoft 365, identity, and collaboration· Administer Microsoft 365 services including Exchange Online, Teams, SharePoint/OneDrive, and related tenant settings.· Manage identity and access (Entra ID/Azure AD), MFA, conditional access, and role-based access controls.· Support Teams meeting setup, conferencing standards, and collaboration workflows.Security, compliance, and endpoint management· Maintain a secure endpoint posture: patching, device encryption, anti-malware/EDR, and configuration baselines.· Implement and maintain endpoint management (e.G., Intune/Autopilot and related policies) and/or group policy where applicable.· Maintain and continuously improve IT security policies and controls required to support work with commercial and government clients (e.G., access control, device standards, data handling, and audit readiness).· Be eligible to obtain and maintain required security clearance for client and contract needs (level dependent on project requirements).· Run security hygiene programs: phishing awareness, least-privilege practices, secure remote access, and incident response readiness.Infrastructure, networking, and remote access· Support and maintain office networks (firewalls, switches, Wi-Fi, VLANs where applicable) and coordinate with internet/telecom providers.· Manage VPN and remote access solutions to ensure reliable connectivity for field work and remote engineering staff.· Oversee backup and recovery practices and help define practical business continuity and disaster recovery processes.Engineering software stack and data workflows· Support installation, configuration, licensing, and updates for engineering and design tools (e.G., ShipConstructor, Rhinoceros, AutoCAD, ANSYS/FEA tools, mooring software, and related applications).· Support ShipConstructor database connectivity and workstation configuration, coordinating with vendors as needed (including SQL/database administration tasks when required).· Support specialized hardware and data capture workflows (e.G., 3D laser scanning, point-cloud processing, and virtual reality visualization) and associated data handling.Procurement, asset management, and vendors· Own hardware and software procurement: evaluate options, order equipment, stage devices, and manage lifecycle replacements.· Maintain asset inventory, licensing records, warranties, and vendor relationships; manage renewals and service contracts.· Coordinate with external IT and software vendors when escalation or specialist support is required.Digital presence and productivity improvements· Maintain and update the company website and support basic digital marketing tasks (content updates, simple improvements, and profile upkeep) during planned downtime.· Support adoption and governance of productivity tools including Copilot and other AI-enabled workflows, with a focus on responsible use, access controls, and practical outcomes.· Identify opportunities to automate repetitive tasks (e.G., onboarding checklists, device standards, reporting) using scripting and low-code tools.*Core Tools and Environment*· Microsoft 365: Exchange Online, Teams, SharePoint/OneDrive; identity via Entra ID/Azure AD.· Windows endpoints and device management; VPN/remote access;endpoint security tooling.· Engineering software and workflows including ShipConstructor (database-connected), Rhinoceros, AutoCAD, and simulation/analysis tools (e.G., ANSYS/FEA).· Field and data capture equipment including 3D laser scanning systems, point-cloud pipelines, and virtual reality visualization workflows.*Qualifications*· 5+ years of experience in a hands-on IT role (in-house or MSP), supporting a professional-services or technical organization.· Strong Microsoft 365 administration experience, including Exchange, Teams, SharePoint/OneDrive, and tenant configuration.· Working knowledge of Entra ID/Azure AD, MFA, conditional access, and identity/access management best practices.· Eligible to obtain and maintain required security clearance and to work under client security policies as needed.· Proficiency with Windows 10/11 administration, endpoint management, patching, and security hardening; PowerShell skills are an asset.· Solid fundamentals in networking (TCP/IP, DNS, DHCP, Wi-Fi, firewalls) and remote access/VPN support.· Ability to support specialized engineering software and licensing; comfort troubleshootingperformance, connectivity, and database-connected applications.· Clear communication, a service-first mindset, and strong prioritization skills in a fast-paced environment.· Based in Greater Vancouver or Greater Victoria (preferred).
