The opportunity
We have an exciting full-time permanent opportunity for a Senior Manager, Privacy and Records Management. Reporting to the Chief People Officer, the Senior Manager plays a crucial role in ensuring the organization's compliance with appropriate federal and provincial privacy acts, and overseeing the management of records and information assets. This role involves developing and implementing privacy policies, procedures, and compliance strategies, as well as optimizing records management practices. The Senior Manager will collaborate with stakeholders to safeguard MODC’s data privacy and manage information assets effectively.
Responsibilities
Privacy
- Develop, implement, and maintain a comprehensive privacy program that aligns with applicable regulations.
- Monitor changes in privacy laws and regulations and ensure the MODC's policies and practices remain compliant.
- Lead the development, documentation, and periodic review of privacy policies and procedures, as assigned.
- Advise the Executive Leadership Team (ELT) of new regulatory policies or legislation and facilitate the implementation of new or revised policies and programs to address them.
- Develop, implement, and maintain a robust privacy impact assessment process and tools that allow for the organization to test its privacy controls (by function) against a well-defined set of measurable criteria.
- Review, develop, and coordinate appropriate action plans to address findings of privacy assessments, audits, and monitoring.
- Identify and assess privacy risks; provide advisory and consultative support to functions and risk owners to develop appropriate mitigation plans.
- Lead the investigation of privacy incidents to identify privacy breaches and support response through all phases of the incident response process, including privacy analysis, root cause analysis, development of appropriate mitigation strategies, and drafting and reviewing associated communications and reporting.
- Build and foster a culture of privacy within MODC, including developing training programs and providing ongoing education and communications with all departments, in collaboration with ELT members and People & Culture.
- Provide advice, drafting, and documentary review services to the ELT, as required, to enable effective evaluation and response to consumer inquiries, complaints, and requests of any kind.
Records Management
- Collaborate with departments to develop and implement records management policies, procedures, and guidelines that align with best practices and regulatory requirements.
- Lead the records classification, retention, and disposal efforts to ensure the proper management of physical and electronic records.
- Promote a culture of records management and data stewardship throughout the organization.
Qualifications and experience
- Post-secondary degree in a related field of study or an equivalent combination of education and experience.
- Relevant certifications in privacy and records management required.
- Minimum five years of professional work experience in the field of privacy, data protection, and risk management.
- In-depth knowledge of records management principles, best practices, and regulatory requirements.
- Proficiency in data privacy and information security concepts.
- Demonstrated experience in the application of provincial and federal privacy legislation; solid understanding of legislation and trends, relevant privacy legislation and best practices.
- Knowledge in and ability to apply the principles of project management and change management.
- Detail-oriented, well organized, able to coordinate and multi-task to accomplish a variety of tasks and activities with conflicting priorities and timelines.
- Superior writing skills and experience in producing reports and submissions related to privacy.
- Analytical skills for complex problem solving.
- Demonstrated aptitude for developing working relationships with a broad range of professionals and stakeholders at multiple levels.
- Excellent facilitation, communication, and presentation skills.
- Ability to handle information and business affairs with discretion and confidentiality.
- Demonstrated proficiency using Microsoft Office suite.
Hybrid work arrangement (minimum 1 day in our office at 202-885 Don Mills Road)
