The Role

We’re currently searching for a full-time Environmental Sample Management / Inventory Control Coordinator to be our frontline liaison between our clients and lab operations in Hamilton. Working within the Sample Management group, and in conjunction with our Customer Service Representatives and Account Managers, the Sample Custodian will oversee the life cycle of the samples. The ideal candidate for this role is detail-oriented, a strong communicator, and a team player with superb data entry skills. This is a full-time, permanent role.

This role is on-site, at 351 Nash Rd North, unit 9B, Hamilton, Ontario, L8H 7P4

Duties and Responsibilities:
  • Communicate with clients to assist with or direct inquiries.
  • Answer incoming calls and greet client walk-ins.
  • Work in conjunction with Account Managers to ensure client satisfaction.
  • Provide clients with field supplies such as bottles, sampling media, coolers, field quality control supplies, chain of custody forms, and sampling guidance documents.
  • Receive samples from both client walk-ins and couriers.
  • Verify orders to ensure sample integrity and accuracy with the chain of custody. This includes client contact and project information, matching samples against chain of custody information, preservation, temperature, hold times, and bottle integrity.
  • Log in and label samples.
  • Communicate with lab staff on priority samples or samples with special requirements.
  • Store and manage sample disposition as delegated by the Lab Manager.
  • Assist in the coordination of field supplies such as bottles and sampling media.
  • Maintain lab/depot hours, including opening and/or closing.
  • Coordinate with Account Managers and Sample Management to resolve routine issues with sample submissions.
  • Perform sample pre-treatment if necessary.
  • Handle sample and supplies shipping as required.
  • Carry out various general office and administrative tasks.
  • Comply with company QA/QC and Health & Safety policies and procedures.
  • Perform other tasks as assigned or dictated by position.

Qualifications:
  • Minimum High School Diploma-Post secondary education is desired, but not essential.
  • Experience in Inventory Control or Materials Management would be considered an asset.
  • Effective communication skills with the ability to establish and maintain productive work relationships with various levels of staff, to support sample management process.
  • Organized and keen attention to detail.
  • Very good computer skills – MS office. Data Entry experience an asset.
  • Demonstrated initiative, detail-oriented with a positive attitude and ability to multi-task.
  • A proven customer service orientation with a style that demonstrates timely response.
  • Quick learner, effective problem solver and demonstrates ability to follow procedures.
  • Ability to work effectively and independently in a fast-paced environment.
  • Lab experience is not essential and training will be provided.
  • Must be physically capable of lifting moving boxes and or coolers up to 50lbs on occasion.
