Program Manager, Artist Services

This is a term position starting in July of 2024 and ending March 31, 2025

The Opportunity

As a member of a program management team, Banff Centre is in search of a Program Manager that will be responsible for the project management of an assigned portfolio of projects primarily related to the Presenting portfolio. The Artist Services portfolio works to plan, and execute Presenting events. This portfolio is critical in developing and maintaining relationships with artist management companies, tour managers, and artists themselves, with the goal of delivering an exceptional artist and audience experience every time. This portfolio works on a wide range of artistic disciplines such as theatre, dance, and music.

Unique to this portfolio is contracting and working directly with tour managers and artist representatives, developing an effective and efficient flow of information between the artists, tour managers, in-house and touring technical production teams, marketing and communications, audience services, and hospitality operations. This portfolio oversees all contract administration (including issuing performance agreements as needed) and artist payment for Presenting shows. The program manager may be required to coordinate travel for artists and generate their itineraries, as well as coordinate production schedules. In addition, this individual must feel comfortable with managing budgets, billing, invoicing, and other administrative functions involved in the settlement of show contracts, and tracking and reporting as required for grant-funded events.

Responsibilities:

Roles and Responsibilities
Reporting to the Senior Program Manager, below are some key responsibilities:

Accountable for documenting the project plan, scope of the program, scheduling, project deliverables, resourcing, quality control and implementation of arts and leadership programming at Banff Centre as assigned, based on program and scheduling priorities determined between the Arts, Operations, Development, Finance and Program Administration.

Manage the day-to-day project management for the assigned programs, aligning the programs and associated events with Banff Centre’s values and strategic objectives, ensuring that all programs are built and delivered in line with Banff Centre’s design signature—transformative learning experiences for every participant.
Develop processes for regularly communicating and reporting on program milestones, key deliverables, updates, and risk mitigation in consultation with the Senior Program Manager, as well as in discussions with the Arts and Leadership teams and Operations Teams.
Align resource requests, planning, and allocation for programs within approved plans and budgets as well as within established deadlines and in consultation with delivery areas.
This position must understand and respect the planning and operating needs of facilities, site-specific locations, production and co-ordination needs, and hospitality standing.
Coordinate and/or participate in a regular process of program and events planning review and evaluation that ensures the highest ethical standards in project implementation activities and make appropriate recommendations as appropriate.

Qualifications:

Qualification and Educational Requirements

- 5+ years of proven program management experience, preferably within a creative environment.
- University degree in an arts discipline, or related area of study.
- 5+ years of project management experience.
- Strong arts background in live events is considered an asset
- Experience building and managing programming budgets.
- Proven analytical and interpersonal skills.
- Solid understanding of program and events, marketing, promotion and production.
- Production and or post-secondary institution experience is an asset, as is literacy across a broad range of arts disciplines.
- Strong written and verbal communication skills
- This position may require the candidate to be available to work a flexible, irregular schedule and weekends.

Employment Terms and Benefits

- In accordance with the terms of employment governing Management/PSP employees, this is a salaried, term position, subject to a 6-month probationary period.
- This position pays an annual salary of $74, 500.
