Position Summary:

The Inside Sales Supervisor is responsible for effectively defining, evolving, and administering the companies inside sales team from proposal submission through to order entry processes. This role provides comprehensive sales support services to the global sales team in pursuit of orders, gross margin, and revenue targets.

In this capacity, the Inside Sales Supervisor oversees the timely issuance of accurate quotes, effectively manages customer interactions throughout the order lifecycle, and ensures smooth handover of projects to manufacturing/operations. Key performance metrics include the inside sales teams quote accuracy, order capture rate, and timely, error-free proposals.

Key Accountabilities:

Team Management

  • Provide leadership and guidance to the inside sales team, setting clear goals and performance metrics.
  • Conduct regular coaching sessions, performance evaluations, and professional development plans to foster continuous improvement.
  • Coordinate staffing, scheduling, and workload allocation to ensure efficient and effective support for all inside sales activities.
  • Cultivate a supportive, collaborative work environment that encourages high performance, strong communication, and teamwork.

Sales & Proposal Management

  • Promptly respond to incoming RFQs, qualifying unsolicited requests with support from Regional Sales Managers.
  • Evaluate and improve the proposal submittal process (e.g., templates, quotation tools, list price updates) to optimize turnaround time and ensure consistency in data sheets, risk assessments, and authority matrix adherence.
  • Develop and maintain a standard RFQ response package that is free of errors, omissions, and ambiguity, while protecting the company from commercial risks.
  • Collaborate with cross-functional teams (e.g. Application Specialist, Logistics, Engineering) to gather technical and cost data for proposals.

Order Processing & Handover

  • Process incoming Purchase Orders by acknowledging order receipt, entering orders into the ERP system, and initiating handover to the Operations team.
  • Ensure all approved orders meet accuracy standards, including correct costing, pricing, and lead times, before release to manufacturing.
  • Coordinate with Production, Logistics, and other relevant departments to confirm and communicate delivery timelines, shipment details, and on-dock schedules.

Customer & Cross-Functional Communication

  • Manage customer interactions from the initial RFQ through order fulfillment, providing timely updates on order status.
  • Participate in customer meetings as needed to discuss quotation requirements, scope of supply, and clarify technical or commercial elements.
  • Collaborate with Finance to facilitate order milestone payments and LC (Letter of Credit) management, where applicable.
  • Lead or participate in project kick-off meetings with Operations to ensure a smooth sales-to-operations handover and clarify project scope.

Continuous Improvement

  • Identify opportunities to streamline inside sales and proposal workflows, ensuring both process efficiency and adherence to company risk management practices.
  • Maintain up-to-date knowledge of internal products, pricing structures, and market conditions, sharing relevant insights with the sales team.
  • Use CRM and MRP/ERP systems effectively, ensuring that data is accurate, accessible, and leveraged for performance reporting and analysis.

Expected Outcomes:

Timely & Accurate Proposals

  • Proposals are prepared and issued promptly, reflecting accurate product cost, lead times, and commercial terms.

Consistent Proposal Response Time

  • All RFQs are responded to the inside sales team are within established departmental guidelines (e.g., 48 hours), ensuring swift and reliable service.

High Order Capture Rate

  • Through clear and competitive quoting, drive increased order win rates.

Error-Free Order Processing

  • All orders entered into the ERP system are verified for accuracy, ensuring smooth production handover.

Streamlined Handover

  • Comprehensive sales-to-operations handover packages lead to on-time deliveries and satisfied customers.

Consistent Customer Engagement

  • Maintain strong relationships through regular communication, fostering customer confidence and repeat business.

Strong CRM Adherence

  • The inside sales team fully and accurately logs all sales activities, pipeline data, and customer interactions in the CRM system, ensuring clear pipeline visibility and data-driven decision-making.

Qualifications:

Education

  • Bachelor’s or Technical Degree (Engineering, Chemistry, or related field preferred).

Experience

  • Proven experience in inside sales, proposals, or sales support roles.
  • Experience in leading a team.
  • Familiarity with engineer-to-order (ETO) or similar custom product environments is a plus.

Technical Skills

  • Proficiency with desktop software (Office applications, web-based tools).
  • Experience with CRM systems and MRP/ERP software.
  • Strong technical writing, editing, and collaboration skills with application engineering.

Communication

  • Excellent verbal and written communication abilities.
  • Skilled in conducting customer presentations and leading business meetings.
