THE ROLE:

As Leasing Coordinator, you will provide administrative support to our Eastern Leasing team with respect to the preparation of leasing documentation, performance reports, marketing material, transactional data entry, and overall analysis for various retail and mixed-used properties. Reporting to the Senior Director, Leasing, you will be a key member of the team and have a rewarding and challenging opportunity to make an impact while supporting our tenants.

WHAT YOU WILL DO:

  • Provide administrative support, including preparing general correspondence, preparation of expense reports, and preparing various meeting materials.
  • Support leasing transaction data entry; Enter and track deals in View the Space (VTS) system.
  • Prepare leasing documentation and lease summaries.
  • Tracking of all assignments, lease expiries, option dates, and condition precedents.
  • Create and maintain Leasing site plans and property portfolio binders using Adobe Illustrator software.
  • Ensure tenant possession dates are met.
  • Support the preparation of annual leasing budgets and reforecast throughout the year.
  • Prepare fact sheets and marketing packages to ensure all valuable marketing information is readily available.
  • Establish, manage, and maintain up-to-date aerial and ground photos database for all Easternproperties.
  • Responsible for researching and developing strategic mapping systems used for internal analysis.
  • Conduct quarterly reviews and updates of the portfolio on the FCR website.
  • Assist in the completion of quarterly supplemental package submitted to Senior Management.
  • Participate in special projects and take on other duties, as assigned.

WHAT YOU BRING:

  • One (1) to three (3) years of previous related experience. Commercial real estate industry knowledge and exposure are a bonus
  • Post-secondary education in Real Estate, Business, or related field.

WHAT YOU NEED TO BE SUCCESSFUL:

  • You are fully bilingual in French and English.
  • Well-developed presentation, communication, and interpersonal skills to effectively collaborate across all levels within and outside the organization.
  • Excellent attention to detail and time management skills to coordinate multiple, competing priorities and deadlines.
  • A team-player; you are willing to step in and lend a hand as needed and identify the opportunities to do so.
  • You are highly analytical with the intuitiveness for learning new applications; you take any opportunity to learn new skills.
  • Experience with VTS, Adobe Illustrator, Photoshop, or Map Point is an asset.

LE POSTE :

En tant que coordonnateur (trice) de locations commerciales, vous apporterez un soutien administratif à notre équipe de location de la région de l'Est pour la préparation des dossiers de location, des rapports de performance, du matériel de marketing, des saisies de transactions et de l'analyse globale de différents biens immobiliers commerciaux et à usage mixte. Relevant du directeur principal de la location, vous jouerez un rôle clé au sein de l'équipe et profiterez d'une opportunité gratifiante et stimulante pour avoir un impact tout en apportant votre soutien à nos locataires.

CE QUE VOUS FEREZ :

  • Apporter un soutien administratif, en préparant notamment la correspondance générale, les notes de frais et les documents destinés aux réunions.
  • Participer à la saisie des données relatives aux transactions de location ; saisir et suivre les transactions dans le système View the Space (VTS).
  • Préparer la documentation des contrats de location et leurs résumés.
  • Effectuer le suivi de toutes les cessions de baux, de leurs échéances, des dates d'exercice des options et des conditions préalables.
  • Créer et tenir à jour les plans des sites de location et les dossiers du portefeuille immobilier à l'aide du logiciel Adobe Illustrator.
  • S'assurer du respect des dates de prise de possession par les locataires.
  • Participer à la préparation des budgets annuels de location et établir des prévisions révisées tout au long de l'année.
  • Préparer des fiches d'information et des dossiers de marketing pour veiller à ce que toutes les informations commerciales utiles soient facilement accessibles.
  • Constituer, gérer et tenir à jour une base de données de photographies aériennes et terrestres pour toutes les propriétés de la région de l'Est.
  • Être responsable de la recherche et du développement de systèmes de cartographie stratégique utilisés à des fins d'analyse interne.
  • Réaliser un examen et une mise à jour trimestriels du portefeuille sur le site internet de FCR.
  • Contribuer à l'élaboration du dossier trimestriel supplémentaire présenté à la direction générale.
  • Participer à des projets spéciaux et prendre en charge d'autres missions, selon les besoins.

CE QUE VOUS APPORTEZ :

  • Un (1) à trois (3) ans d'expérience préalable dans ce domaine. La connaissance du secteur de l'immobilier commercial et une expérience dans ce secteur sont un atout
  • Formation postsecondaire dans le domaine de l'immobilier, des affaires ou dans un champ d'activité similaire.

  • Vous êtes parfaitement bilingue en français et en anglais.
  • De bonnes compétences en matière de présentation, de communication et de contacts interpersonnels pour collaborer efficacement à tous les niveaux, au sein de l'organisation et en dehors de celle-ci.
  • Un excellent souci du détail et des compétences en matière de gestion des délais pour coordonner des priorités et des échéances multiples et concurrentes.
  • Vous avez l'esprit d'équipe ; vous pouvez intervenir et donner un coup de main en cas de besoin et vous identifiez les opportunités qui s'offrent à vous.
  • Vous avez un esprit très analytique et la faculté d'apprendre de nouvelles pratiques ; vous saisissez toutes les occasions pour acquérir de nouvelles compétences.
  • Une expérience avec VTS, Adobe Illustrator, Photoshop ou Map Point constitue un atout.
