Purpose

Contributes to the overall success of the Canadian Wealth Management Partnerships team, ensuring specific individual goals, plans, and initiatives are executed/delivered in support of the team’s business strategies and objectives. Ensures all activities conducted are in compliance with governing regulations, internal policies, and procedures.

The success of all Partnerships team-led initiatives is integral to ensuring the consistent delivery of an excellent client and partner experience and achievement of Canadian Wealth Management’s objectives. As a member of the Partnerships team, contributes to building a strong platform that provides a supportive work environment for a dedicated, high-performing sales force. Provide support on prioritized initiatives that will result in achieving near-term business targets and longer-term business growth.

The Partnerships Associate works with the national office team to provide sales and administrative support to 2 Regional Directors and Wealth Management Consultants/Regional Managers, Commercial Wealth across 2 regions. Primary responsibilities include providing support on expense management, regional reporting, training on referral processes and Salesforce opportunities, supporting the investigation process and follow-up on the status of client referrals, pipeline and results tracking with both advisory and CB partners, along with the identification of opportunities to streamline the referral process and improve client and partner satisfaction. An in-depth knowledge of all Wealth and Canadian Banking systems is required to support Wealth Management Consultants in day-to-day operations, including the development of training materials, job aids, process documentation, and ongoing communications for Wealth Management Consultants and Regional Directors.

Is this role right for you? In this role, you will:

  1. Work with members of the National Partnerships team to support Regional leaders, Wealth Management Consultants, and Regional Managers, Commercial and Wealth to foster and sustain strong working relationships with referral Partners and Wealth Management colleagues, including:
  • Day-to-Day accountability for investigations, analysis, and reporting for Bank Partners, CWM partners, regional leaders, and WMCs/Regional Managers Commercial & Wealth.
  • Day-to-Day accountability for onboarding new employees, including system access to IntraLink, Outlook, MS Office, MS Teams, VPN, Egencia, SalesBuilder, Salesforce, and HR systems. Provides training to new employees to acquaint them with the various online resources and materials required to support WMCs and RMCW’s relationships with bank and advisory partners.
  • Manage Regional inbox and respond to inquiries from Wealth Management Consultants in line with Partnerships SLA.
  • Support the WMC with follow-up on client referrals, referral credits, closed business, and pipeline reporting with advisory and bank partners.
Provide support to Wealth Management Consultants/Regional Managers, Commercial/Wealth in the following areas:
  • Salesforce:
    • Providing WMC / Wealth Advisory instruction to accurately record sales when needed.
    • Review entries and reports for accuracy.
    • Priority support at month-end to ensure closed business is recorded.
    • Reconciliation reporting and corrections.
    • Create and follow up with Salesforce Service Centre tickets when issues arise.
Expense policies and T&E support.Support with Marketing materials as needed.

3. Provide support to the Manager on month-end and quarter-end activities, including:

  1. Investigating missing credit issues and identifying opportunities to proactively identify fixes for future scenarios.
  2. Logging missing credits and following escalation/approval processes.
  3. Creating entries in Salesforce for MD/IS/iTRADE reporting.
  4. Preparing WMC to IS pipeline monthly.
  5. Logging MBR neutralization inquiries.
  6. Back-up support to other Associate for scheduled time off.

4. Contributes to the achievement of the Partnerships strategy by:

  1. Participating in workshops, job shadowing activities, and problem-solving sessions aimed to streamline monthly validation and recording processes.

5. Understand how the Bank’s risk appetite and risk culture should be considered in day-to-day activities and decisions.

6. Actively pursues effective and efficient operations of his/her respective areas in accordance with Scotiabank’s Values, its Code of Conduct, and the Global Sales Principles, while ensuring the adequacy, adherence to, and effectiveness of day-to-day business controls to meet obligations with respect to operational, compliance, AML/ATF/sanctions, and conduct risk.

Do you have the skills that will enable you to succeed in this role? – We’d love to work with you if you have:

  • 1-3 years of bank administrative experience.
  • Strong administrative background.
  • Previous experience with Scotiabank systems is an asset.
  • Experience working with Salesforce.
  • Well-developed knowledge of Microsoft Office, specifically Microsoft Excel & Teams.
  • Ability to multi-task with conflicting priorities.
  • Ability to accept challenges and adapt to a dynamic environment.
  • Attention to detail, and high-level of accountability for the quality and timely completion of deliverables.
  • Knowledge of Wealth Management industry.
