Reporting to the Assistant Registrar, Enrolment & Graduation, the Service Assistant incumbents are responsible for all aspects of front-line customer service as it applies to Enrolment Services (ES). This is a critical function as it is predominantly the first point of contact with ES for undergraduate and graduate students, parents/guardians, staff, and faculty. The contact with clients will be in person, by telephone, Teams, and email. The dealings are often complex, sensitive, confidential, and action-oriented requiring demonstrated tact and diplomacy. Incumbents must be dedicated to delivering client-centred service in a positive, dynamic, outgoing approach.
The incumbents are required to be knowledgeable and have a full understanding of policies, procedures, processes, deadlines and consequences that include: academic consideration; academic misconduct; registration, including course drops and adds; course section management issues; the impact of academic withdrawal and study changes; academic records and transcripts; student accounts.
The incumbents are responsible for a variety of data entry and verification, including: confirmation of enrolment forms and reports; course section registration; personal information changes; status in Canada information; payment of administrative fees; and person restrictions limiting enrolment or release of records. The incumbents handle a high volume of in-person transactions, phone calls and emails daily.
Requirements of the position include:
- One year community college in business or office administration (two-year college diploma preferred), and minimum 12 months of relevant experience in a postsecondary environment, preferably in a registrarial setting, or an equivalent combination of education and experience.
Candidates should demonstrate:
- advanced knowledge of a Student Information System (Colleague preferred) and the Microsoft Office Suite; sound knowledge of university policy and procedures, retention policy and FIPPA;
- excellent customer service, judgement, and attention to detail;
- strong interpersonal and communication skills, including an ability to deal with difficult clients and situations effectively;
- strong time management skills;
- the ability to work independently as well as part of a team;
- detail-oriented;
- the ability to multi-task in a high traffic area while maintaining a high quality of work and prioritizing effectively; and
- the ability to work well under pressure with multiple interruptions and strict timelines. Occasional evening and weekend work required at peak times.
