Job Description

VPIC is looking to hire a driven, hands-on contributor for the role of Portfolio Administrator. Our ideal candidate is someone who thrives in a fast-paced, entrepreneurial environment, is highly proactive with exceptional organizational skills, and enjoys interacting with colleagues at all levels of the organization. The role reports directly to and will be mentored by the Lead Investment Counsellor and is located in our Winnipeg office.

The Portfolio Administrator is a key member of the VPIC Team who collaborates daily with Investment Counsellors, Trading, and Client Service teams to ensure the effective implementation of model portfolios and efficient flow of trading activity within client accounts. The Portfolio Administrator assists the Investment Counsellor Team with the implementation of dollar cost average and tax selling strategies, works cross-functionally to ensure Know-Your-Client (KYC) and offside accounts processes are managed proactively and in accordance with VPIC policy, and supports the growth of the business by providing recommendations for, and participating in, continuous improvement initiatives across the range of portfolio administration functions.

Responsibilities

  • In collaboration with Investment Counsellor (IC), Client Service, and Trading teams, oversee and monitor the portfolio implementation workflow end-to-end to ensure incoming assets, deposits, transfers-in to new and existing client accounts are handled accurately and in a timely manner
  • Work closely with IC and Trading Teams to track and execute portfolio transition plans based on Investment Counsellor instruction, and communicate proactively when trading instructions are needed
  • Assist the Investment Counsellor Team with account adjustments as required
    • Transition new client accounts to VPIC recommended portfolios
    • Conduct capital gains analysis to support IC team in forming portfolio recommendations and trading instructions; providing analysis and guidance for reallocating or adjusting client accounts for deposits, withdrawals, or other transactions

Administration of Model Portfolios, Dollar-Cost-Average (DCA) Strategies, and Tax Loss Selling

  • Work with ICs, Trading Team, and VPIC Asset Allocation Committee to ensure the effective and efficient administration of VPIC Model Portfolios via client listings, CRM, and portfolio management systems
  • Oversee the administration of ongoing DCA strategies and plans, ensuring changes are coordinated between Investment Counsellor and Trading Teams
  • Monitor and provide recommendations regarding accounts and securities to consider for tax loss selling purposes, ensure tax loss selling and pair trades are executed, and tax loss strategies are unwound in a timely manner

Book of Record Administration & Continuous Improvement

  • Proactively manage account cash balances, conduct regular reviews and analysis of cash holdings, and report ongoing status of cash balances to IC and Trading Teams
  • Collaborate across VPIC Operations and Compliance to manage the offside account process ensuring accounts are in good order per client Investment Policy Statements
  • Oversee the KYC update process across the VPIC book of clients
    • Work with the Director of Strategic Initiatives and Director of Operations to track, monitor, and report on KYC status with the aim of keeping client KYC profiles up to date
    • Work with Investment Counsellor Team to ensure KYCs are updated through client meetings or other means per VPIC policy
  • Work collaboratively with VPIC Operations, Investment Counsellors, Trading, and IT to assist in ongoing process improvement across the range of portfolio administration functions
    • Determine business process requirements, provide guidance on technical changes, and assist in defining and building out business needs and exception reporting
Qualifications

Education & Experience

  • Undergraduate degree in Commerce, Business Administration, Economics, or related discipline
  • Willingness to expand on professional qualifications by completing the CSC or similar program
  • Related experience in an investment or financial services environment, knowledge of the Canadian Securities industry is preferred

Technical Knowledge

  • Advanced proficiency in Microsoft Office: Excel, PowerPoint, Word, Teams, Outlook
  • Working knowledge of Salesforce, PM software, and advisor operating systems are an asset
  • Technical fluency with the ability to learn and adapt to new technology effectively
